Administrative Assistant

We are currently seeking an Administrative Assistant to join the team within either our Burgess Hill or Winnersh facilities.
The Administrative Assistant is required to provide administrative support, performing administration activities relating to the day-to-day work of the Senior Manager(s) and Department(s) support.
In addition, to work as a member of the UK Central Administration Team, supporting the wider business, and undertaking travel, purchasing and other ad-hoc administrative duties.
Primary Responsibilities:
* Calendar management: arranging/scheduling/accepting meetings, determining priorities and maintaining multiple calendars.
* Organisation of meetings, including rooms, other resources. Booking refreshments, meeting and greeting visitors on arrival. Attendance at on-site or off-site meetings if required, to take notes/actions.
* Prepare associated expense claims.
* International Travel: book international travel and accommodation, using the Concur online booking tool or via our preferred travel agent, adhering to strict travel security and approval processes, managing multiple reschedules, as they happen.
* Perform and assist with Central Administration Team duties, such as submitting Purchasing requests via our online systems, ensuring correct approvals are obtained, and requests reach the Procurement department in a timely manner.
* Create and maintain appropriate records and filing systems, adhering to company and team guidelines.
* Screen Incoming Calls: handle call or refer to appropriate contacts, working routine matters with our internal and external customers.
* Trade Shows and Exhibitions: may provide occasional support to company presence at trade shows and exhibitions.
* Reception Cover: Occasional support for our Front Reception when required, providing switchboard cover, and dealing with outgoing post.
* Support of meetings including facilitation of briefing documents, minute taking and action tracking
* Internal communications including editing of intranet, e-noticeboards, running All Hands presentations, supporting the internal newsletter, organising staff engagement activities

* Communication Skills: Able to establish and maintain effective working relationships with all levels of Collins Aerospace personnel and external contacts.
* Ability to communicate effectively and always provide a high standard of verbal and written work.
* Provides timely information clearly and promptly.
* Listens well and asks for clarification.
* Demonstrates the ability to circulate information through the proper channels and deals with requests and feedback constructively.
* A keenness to learn and contribute.
Basic Qualifications:
* Good written, verbal and numeric skills
* Experience of Word, Excel, PowerPoint, Outlook e-mail systems etc
* Confidentiality
* Good telephone manner
* Organising Business Travel arrangements
* Educated to GCSE level standard or equivalent in English Language and Mathematics
Applicants must have the ability to obtain SC level of security clearance in the UK.
