Job Purpose:

Reporting to the Training Manager, responsible for providing coordination and administration resource to the BBC account. Working closely with the central Learning & Development team to ensure that all training is aligned with client requirements, EMCOR UK’s learning and development and business strategies, company goals and enhances employee skills to support professional development. Monitoring training compliance and updating the business online learning management system to ensure training activities are correctly recorded. Duties:

Training Matrix & Reporting

1. Collaborating with the Training Managers and senior leadership teams to assess training needs and create and maintain a comprehensive training matrix and structured training plans for all BBC employees
2. Maintain records of employee training and certification status, preparing reports on training activities and results as required

Training Authorisation

3. Advising and guiding BBC employees on available programmes
4. Manage learning requests for BBC employees
5. Direct all training requests through the automated link to the central L&D Smartsheet
6. Working with central L&D team to ensure correct authorisation routes are up to date
7. Complete training support agreement forms to align with current practices and authority routes, including qualifications requests. In the event of leavers working with the central HR and L&D teams to recover any funding costs as per terms of the agreements

New Starter Induction

8. Supporting Training Manager to ensure all new starters receive a comprehensive induction programme
9. Working with BBC HRBP and central Recruitment teams to ensure all new starters attend monthly virtual Corporate Welcome sessions, reporting on attendance levels and tracking down those employees who fail to attend (supporting their attendance at another date).

Programme Coordination

10. Working with the central L&D team to plan, schedule and coordinate any internally and externally delivered training sessions for BBC employees, ensuring minimal disruption to business operations
11. Liaise with BBC event staff to book training facilities on-site
12. Ensure that on-site catering is arranged for site-based training events, workshops, roadshows and L&D events
13. Preparation and dissemination of pre and post course training materials and handouts for internal training sessions
14. Manage attendance records and record these on individual Kallidus Learn profiles
15. Ensure feedback evaluations are completed after each programme
16. Manage attendance of BBC employees to ensure full attendance on booked and scheduled programmes, avoiding late cancellations and no-shows
17. In conjunction with the central L&D team and Head of Soft Services, coordinate and organise BICSc training sessions for internal trainers, assessors and cleaning operatives
18. Working with central L&D, ensuring any site-based training and meeting rooms are prepared and ready to receive organisers, facilitators and delegates
19. Provide/facilitate a meet and greet service for trainers and delegates when on-site, showing them to their rooms and facilities
20. Manage communication of upcoming training programmes to EUK BBC staff
21. Ensure central L&D team are kept up to date with any activities

Ad-hoc

22. Working with Training Manager and other BBC Training Coordinator/s to cover absence or during busy periods
23. Provide support at learning events/workshops as required
24. Other duties as required

About the role

25. Proven experience in a busy, administration and coordination role, with a focus on customer service
26. Strong organisational and project management skills
27. Experience in programme coordination and scheduling
28. Proficiency in using Microsoft Word, Excel and PowerPoint skills essential
29. Ability to handle multiple projects simultaneously and meet deadlines
30. Excellent attention to detail
31. Excellent written and verbal English skills essential
32. Ability and confidence to work well and communicate with all levels
33. Proactive and self-motivated, comfortable working without constant day to day management
34. Flexibility and ability to respond and adapt to changing priorities
35. Good influencing and communication skills
36. Ability to identify gaps in training and propose solutions to improve learning and development outcomes
37. Positive attitude and advocacy of learning and development
38. Professionalism in handling confidential employee information
39. Collaborative approach to working with colleagues and teams
40. Familiarity with Learning Management Systems (LMS) and eLearning platforms useful
Other Factors:
41. This role is site and office-based
42. Responsible for delivering coordination service for around 350 employees working across BBC EMCOR UK
43. UK-wide travel is required across BBC sites
44. Full, clean driving licence is essential
