ADMINISTRATOR/RECEPTIONIST

Job Overview
This role is dynamic and multifaceted, involving administrative support for clinical staff and the management of patient inquiries in various formats face to face, telephone, and through clinical systems. It demands composure during busy periods, excellent communication and IT skills, multitasking abilities, and confidence in both independent and collaborative work within a supportive and flexible team environment.
Key Responsibilities
* Assisting with patient registrations, workflow, coding of hospital and professional correspondence, and related tasks.
* Managing patient appointments, e-Consultations, and assigning workloads to the appropriate clinician.
* Processing prescription requests through various systems, medication monitoring, and workflow of documents and general administration.
* Handling phone inquiries and queries in accordance with established protocols.
* Addressing issues and queries from patients, doctors, nurses, community staff, and other relevant teams.
* Organising and retrieving medical records, letters, and test results.
* Updating patient information on the computer system.
* Ensuring the practice premises are ready for the day (opening and closing duties), maintaining tidiness in waiting areas and consulting rooms, and replenishing stationery supplies.
* Actively participating in practice team responsibilities and maintaining accurate records when requested.
* Attending practice meetings and training sessions as needed.
* Respecting patient privacy and adhering to strict confidentiality policies and procedures regarding patient information, practice staff, and business-related data.
Qualifications
* Essential Qualifications
o Educated to GCSE level or equivalent
* Desirable Qualifications
o NVQ Level 3 in Business Administration
* Essential Experience
o Demonstrable Administrative and Reception experience
o Ability to work in a flexible way and respond to change
o Able to demonstrate advanced computer literacy / keyboard skills
* Desirable Experience
o Demonstrable Administrative and Reception experience in the NHS
* Additional Essential
o Excellent communication skills, written and verbal.
o Ability to communicate sensitive information.
o Accuracy and attention to detail.
o Excellent time management skills, ability to prioritise, delegate and work to tight deadlines in a fast-paced environment.
