However we will consider both full and part time applications We are looking to recruit a highly self-motivated and enthusiastic administrator to coordinate our admin team and have oversight of all administrative duties. Based at the Acorns Family Hub the post holder will provide and manage an efficient and responsive administrative service to the Family Hub under the direction of the Hub Manager and will work across the locality, when needed, to meet the needs of the service. The successful candidate must have a high level of self-motivation, excellent organisational skills and ability to work on their own initiative with a proven record of managing staff. Duties will include problem-solving, providing comprehensive administrative support, data entry, preparing agendas, producing accurate monitoring and evaluation reports, and responding to inquiries from the public, colleagues and partners in a professional and timely manner. The post holder will work closely with the Manager and the area Caretaker to ensure buildings remain compliant with all Health and Safety requirements. PRINCIPAL ACCOUNTABILITIES: 1. To promote and safeguard the welfare of children, young people and/or vulnerable adults. 2. Manage an effective and efficient business support service to Early Help services across a local area. 3. Undertake administrative duties required to ensure the effective, efficient running of the Early Help premises, liaising closely with relevant agencies/providers of services and goods. 4. Provide line management and supervision to admin and ancillary staff ensuring that their work is both efficient and effective. 5. Provide line management and supervision of the caretaker ensuring efficiency in respect of the maintenance of premises. 6. Recruit and provide support and supervision to a volunteer team. 7. Monitor relevant budgets; arrange contracts for purchases of equipment and services which are cost effective and in accordance with the HCC Corporate Procurement Rules. 8. Undertake administrative duties in an efficient and accurate manner in response to the needs of the local families, Early Help Manager and Children and Young Peoples Services. These will include the use of Microsoft Office and HCC bespoke systems. 9. Maintain financial documents and records to ensure accurate budget monitoring requirements are met. 10. Service meetings which may be of a complex and confidential nature and involve prior preparation and taking and producing accurate minutes. 11. Co-ordinate monitoring procedures in line with Hull City Council requirements, providing a high level of support to all Early Help staff around Liquid Logic IT systems, collating and inputting information and producing timely and accurate reports. 12. Plays a key role in monitoring and evaluating the Early Help activities and recording data in accordance with data protection legislation. 13. Participate in the promotion of Early Help services, utilising Facebook, texting, email, noticeboards, promoting excellent customer services and working in partnership with parents and children. 14. Proactively works as a member of the Early Help team, contributing to the ongoing successful development of the Early Help Strategy. 15.
