Job Description

Legal Secretary

* Location: Ipswich
* Job Type: Full time (Hybrid)
* Working Hours: Monday to Friday, 9am-5pm

We are currently looking for a skilled Legal Secretary to join our client's team The successful candidate will provide essential support to a partner and wider team role is ideal for individuals with commercial law experience and proficiency in SOS Case Management software. The position is office-based with flexibility to work from home (minimum 3 days in the office) and the convenience of free parking available.

Day-to-day of the role:

* Digital Dictation (Big Hand)
* Manage administrative tasks for a partner and wider team, ensuring smooth office operations.
* Handle correspondence, draft legal documents, and prepare communication on behalf of the legal team.
* Maintain and organise files, updating case management system (SOS)
* General office duties such as assisting with post, filing, answering the telephone, updating third parties such as agents and brokers
* Opening files and sending out initial correspondence
* Preparing exchange documentation, transfer deeds, stamp duty forms and land registry searches
* Setting up completions to include raising invoices and drafting completion statements
* Undertaking AML/ID checks
* Carrying out searches, SDLT, Land Registry & title registrations
* Preparing contract packs
* Raising/replying standard enquiries
* Maintain confidentiality and exercise discretion when handling sensitive information.
* Assist with billing, invoicing, and other financial documentation as required.

Required Skills & Qualifications:

* Previous experience as a legal secretary, with a background in commercial law, landlord & tenant and agriculture.
* Knowledge of legal documentation and terminology.
* Previous experience of using Big Hand Dictation, InfoTrack, Lender Exchange, LMS and Land Registry is essential.
* Proficiency in SOS Case Management software is highly advantageous.
* Excellent organisational and time management skills.
* Strong communication abilities, both written and verbal.
* Ability to work efficiently under pressure and meet tight deadlines.
* Proficient with Microsoft Office and adaptable to new software.
