Facilities Management Support Officer Location: Paisley, Renfrewshire (Hybrid, home and office) Salary: £28,830 to £30,182 per annum Hours: 35 per week, flexible Contract: Permanent Could you assist in the management of facilities services delivered via supply chain, administering key financial processes such as; payments, supplier invoices, quotations, purchase orders, financial authorisations and escalation management? Could you support the Facilities Management (FM) team by maintaining accurate contractual documentation, service records, and management information in line with British Red Cross BRC policies? What will a day in the life of a Facilities Management Support Officer involve? Manage relationships with approximately 100 suppliers delivering both Hard FM services, covering building infrastructure, mechanical and electrical systems and Soft FM services such as cleaning, security, and landscaping across a nationwide estate. Oversee supplier novation during contract transitions to ensure seamless service continuity and compliance, while monitoring performance against SLAs and KPIs to identify and address underperformance. Be accountable for financial processes including the review of Variable Applications for Payment, Fixed Applications, requisitions, purchase orders, goods receipting, credit notes, and validation of costs against contracted rates, purchase orders, coordinating payments and reviewing invoices. Drive operational efficiency by proposing and implementing process improvements, leveraging technology and automation. Act as the first point of contact for suppliers and stakeholders, providing timely responses, high levels of customer care and effective issue resolution or escalation. Responding to communications from suppliers ensuring that these are handled in line with contractual obligations and agreed SLA's/ KPI's. Responding to all calls and emails in a timely and efficient manner providing high levels of customer care at all times. To be a successful Facilities Management Support Officer, what will you need? Strong data management and analysis skills, utilising Microsoft 365 productivity applications, Power BI and Supplier CAFM systems (Computer Aided Facilities Management). Foundational knowledge of soft and hard FM services and understanding of SLAs/KPIs. Ability to interpret supplier documentation, rate cards, purchase orders and compliance records. Ability to prioritise and escalate appropriately in a fast-paced operational environment. Record keeping and financial management experience. Experience working within a Facilities, Property, or Finance administration environment, supporting multiple stakeholders and suppliers. Demonstrated ability to manage high-volume financial processing, including purchase orders, applications for payment, invoice validation, credit notes, and goods receipting. Interested?
