Job Title: Clinical Team Scheduler
* Maintaining the Clinician database
* Manage daily, weekly, and monthly rotas for clinical teams, including Surgeons, Nurses, Technicians, and other healthcare professionals.
* Respond quickly to any scheduling changes or last-minute requirements to minimise disruption to clinical services.
* Ensuring full optimisation of the Clinicians within the business
* Ensure holidays are approved in a timely manner
* Assisting client relationship management with the Self-Employed Clinician network to ensure ability to fill gaps at short notice
* Regular communication to the Operational team to ensure optimisation of the Clinicians
* Commercially minded with a common sense, pro-active and flexible approach to work
* Ensure compliance with internal policies, regulatory standards, and workforce governance requirements.
* Support planning for new clinic openings or expansions by forecasting resource needs and scheduling accordingly.
* Provide administrative support and reporting to the Group Surgery Operations Manager and wider Operations team as required.
About the Role:
The successful candidate will be responsible for efficiently and effectively scheduling Ophthalmology clinics, ensuring seamless delivery of patient care and optimal use of clinical resources. This role requires excellent organisational skills, meticulous attention to detail, and the ability to manage competing priorities in a fast-paced environment.
Key Responsibilities:
* Maintain accurate records and databases related to clinicians and staff
* Coordinate and manage schedules for clinical teams, including deployment and rotation of staff
* Address scheduling changes and last-minute requirements promptly to maintain smooth service delivery
* Optimise clinician usage within the business
* Process holiday approvals in a timely manner
* Support client relationship management with self-employed clinicians to ensure flexibility in filling gaps
* Communicate regularly with operational teams to ensure optimisation of clinicians
* Work commercially, applying common sense, proactivity, and flexibility in a fast-paced environment
* Comply with internal policies, regulatory standards, and workforce governance requirements
* Support planning for new clinic openings or expansions by forecasting resource needs and scheduling accordingly
* Provide administrative support and reporting to the Group Surgery Operations Manager and wider Operations team as needed
Requirements:
To succeed in this role, you will require:
* A proven track record in a similar scheduling or workforce coordination role (not necessarily within healthcare), demonstrating transferable skills in managing complex scheduling at scale
* Excellent organisational and problem-solving skills, with the ability to manage competing priorities in a fast-paced environment
* Strong interpersonal and communication skills, with the ability to engage with a wide range of stakeholders, including clinicians, contractors, and agency partners
* Confidence in using scheduling or workforce management systems
* A high level of accuracy and attention to detail
* Proficiency in Microsoft Office, particularly Excel and Outlook
