Job Summary
We are seeking an ambitious HR Assistant to join our team on part time basis. (30 hours). The successful candidate will support the HR Manager with a range of administrative and basic HR support activities. The HR Assistant is responsible for maintaining our employee database, recruitment administration, preparing HR documents and providing basic HR advice and support to all levels of employees across the business, ensuring prompt resolution.
Key Responsibilities:
* Provide support for internal and external HR-related queries or requests, ensuring timely and accurate responses.
* Deal with basic employee requests and queries regarding HR issues, policies and processes, escalating to HR Manager where necessary
* Ensure employee records are kept up to date, updating HR systems and files in a timely manner
* Post vacancies on online job boards and liaise with recruitment agencies
* Coordinate communication with candidates and schedule interviews
* Assist in the onboarding process, conducting reference checks, right to work checks and issuing employment offers and contracts
* Conduct initial orientation to new employees ensuring all onboarding documents are completed and filed correctly.
* Ensure mandatory training is completed. (Deliver HR induction in absence of HR Manager)
* Assist employees with benefits related queries (Medicash, Yulife etc)
* Update HR Case Management Log and generate data for HR Metrics
* Ensure termination process for leavers is completed in a timely manner.
* Ensure all other HR administrative task are actioned as required
* Stay up-to-date with the latest HR trends and best practices, suggesting improvements to HR processes when necessary.
Key Attributes:
* Minimum of 2 years of experience as an HR Assistant or in a similar HR support role.
* Full understanding of HR functions and best practices
* Confident with Microsoft Office including Word, Excel, PowerPoint
* Hands-on experience with HRIS or HRMS
* Builds strong and effective working relationships at all levels across the business ensuring a collaborative approach
* Patient, tactful, diplomatic, approachable and able to stay calm
* Demonstrate a positive and can-do attitude
* Exceptional organisational, time management and problem solving skills
* Ability to work well under pressure, meet tight deadlines, and handle multiple tasks simultaneously.
* Excellent verbal and written communication skills
* Able to work accurately, with good attention to detail
* Demonstrates a willingness to identify and own a problem.
* Understand and applies confidentiality in handling information and conversation
* Familiarity with basic employment law
