Are you highly organised, detail-focused and passionate about supporting apprentices on their learning journey? Thatcham Research is looking for an Apprenticeship Funding & Logistics Coordinator to join our Academy team and ensure the smooth, compliant, and efficient administration of our apprenticeship programmes.
This is an exciting opportunity to play a pivotal role in supporting the end-to-end apprenticeship process, from enrolment through to completion - ensuring learners, employers, and stakeholders receive excellent service at every stage.
As the Apprenticeship Funding & Logistics Coordinator, you will be responsible for the accuracy and compliance of apprenticeship funding data, learner records, and programme logistics. You'll work closely with internal teams, the Department for Education (DfE), awarding bodies, employers, and system suppliers to ensure we meet all funding, quality, and regulatory requirements.
What you'll be doing:
* Maintain accurate apprenticeship data and compliance documentation within our MIS.
* Ensure DfE funding uploads are timely, accurate, and fully compliant with current funding rules.
* Coordinate enrolment, changes in learner status, completers and End Point Assessments.
* Work closely with Customer Services to ensure apprenticeship agreements and training plans are correct and compliant.
* Process invoicing for non-levy employers and other funding-related transactions.
* Support DfE workforce data submissions and accuracy checks.
* Keep stakeholders informed about apprentice starters, leavers, completions and progress.
* Perform wider administration tasks, including training scheduling data entry.
* Provide occasional cover for reception, internal quality assurance support, or results processing for adult courses.
Skills & experience that will set you up for success in this role:
* Experience using a Management Information System for apprenticeship funding/admin.
* Strong understanding of DfE funding rules and methodology.
* Proven track record of delivering excellent customer service.
* Experience coordinating or supporting apprenticeship training provision.
* High IT literacy, including Microsoft Office; familiarity with finance systems.
* Strong organisational skills with the ability to manage multiple tasks.
* Excellent analytical and problem‑solving skills.
* Clear and confident communication skills

When we work
Our standard working hours are 8:30 - 16:30 Monday - Thursday, early finish on Friday - 8:30 - 15:45 (Talk to us about flexible working if this doesn't quite suit you – we take work-life balance seriously)
How we work
We understand the benefits of remote and in-person collaboration and therefore have a hybrid working model – you'll be expected to work from our office in Thatcham at least two days per week.
