We are looking to appoint a professional and highly motivated individual to join our school in Royal Tunbridge Wells. The ideal candidate will have a well organised friendly approach and excellent IT skills. Experience in a school setting would be an advantage, although training can be provided for the right candidate. The position is full time (not term time) and hours are are Monday to Friday 8.00-4.30pm and school holidays 9.00-3.00pm.
Main Purpose of the Role:
1. Be the first point of contact in the Front Office Reception and work as part of the Administration TeamTo ensure that staff, parents, pupils, visitors and third parties receive a personalised and professional serviceTo ensure the Front Office Reception area is maintained and tidyTo be responsible for confidential secretarial, administration and clerical duties relating to all aspects of the school, including management of diary, correspondence, record keeping, minute taking and organising meetings plus school eventsTo be responsible for all confidential secretarial, administration and clerical duties required by school staff including SLTSome aspects of HR administration
Specific Responsibilities:
2. Update and maintain school Attendance RegistersResponsible for collation and submission of school Annual CensusWork with the Finance department to update SchoolMoney and ordering and management of purchase requisitionsKeep ParentMail database updatedEnsure the SLT is briefed for all meetings with relevant correspondence, documents/presentationsManage minibus booking diary and communicate with minibus drivers, in liaison with the Assistant HeadProduce and update daily sign in/out logs for staff, students and visitorsResponsible for the management and restocking of photocopiers, in liaison with the Site ManagerOpen correspondence addressed to the school and take appropriate actionTake minutes at staff meetings/briefings as required and ensure that matters arising from meetings are dealt with by the appropriate people within agreed timescalesAdministrative filing including some confidential correspondenceManage pupil filesUse ParentMail for school to Home correspondenceOversee school trips correspondenceProof-read school correspondence including grade slips and reports then send to parents via email or postManage staff online training using TES Educare and ensure this is kept up to date and completedProvide First Aid assistance when required (training provided)Help with organising of school events including Prize Giving and Carol ServiceManage hospitality for meetings and events/functions throughout the yearReceive and appropriately deal with email correspondencePhotocopying/scanning documentation as requiredOrganise the Student/Teacher plannersOrganise and oversee school photographsLiaise with the school’s PTABe fully conversant with GDPR
