Job Description
The purpose of this role is to assist in the work of salvation and exaltation by providing individual contributor senior level administrative support to one or more leader and/or one or more functional team or work group. The number of level 3 Administrative Assistant positions in each department or area should be limited. Employees at this level work under minimal supervision and handle complex issues and problems that require comprehensive working knowledge and independent non-routine decision-making using initiative, originality, ingenuity, and sound judgment.
Responsibilities
* Lead lower-level employees through training, mentorship, and day-to-day direction
* Proactively anticipate future needs and make recommendations
* Assist project teams by coordinating project details and following up on pending needs to ensure deadlines are met
* Assist with budget preparation and control activities, including monitoring project or department/area budgets
* Perform research, analyze information, and make recommendations based on findings
* Compile complex data/information from various sources to prepare memos, documents, reports, spreadsheets (including charts and graphs), and presentations using a wide range of software and platforms
* Take meeting minutes and manage meeting documentation
* Use computer applications and software to schedule meetings and appointments and maintain calendars—usually for multiple leaders
* Manage email inbox(es) of assigned leader(s) to an agreed level
* Make travel arrangements
* Present at meetings
* Support office resiliency operations and emergency response
* Plan, organize, and execute large meetings, conferences, and other events
* Answer complex telephone and email requests
Qualifications
* High School Diploma or equivalent
* 4 years of administrative or related experience
* Comprehensive administrative support working knowledge
* Key skills:
o Communicate professionally in writing and verbally
o Utilize Microsoft Office and other software at an advanced level to:
+ Schedule appointments
+ Create and analyze spreadsheets
+ Prepare presentations
+ Take notes and meeting minutes
+ Create and update Word documents
o Provide advanced research, analytical, and data summarization support
o Anticipate needs proactively and think strategically
o Adapt standard processes to address complex problems and find innovative solutions
o Problem-solve and resolve complex issues through sound decision-making
o Organize and prioritize work effectively
o Coordinate projects and events efficiently
o Operate and maintain standard office equipment
o Interact and collaborate with others professionally
o Work with discretion, confidentiality, and integrity
o Train, mentor, and lead the work of others
o Track, review, and provide recommendations on department budget administration
o Make timely payments of contracts and invoices as required
* Ability to meet physical requirements such as sitting for long periods, moving around the office, and using computer equipment
Preferred
* Bachelor’s Degree
* Broad knowledge of the organization’s structure, functions, and key personnel
