Job Description:

Job Purpose

This Project Administration Support role is to support the National Taskforce on Prison Welfare and Safety. This Taskforce oversees, coordinates, and accelerates the implementation of urgent work across SPS functions, mainly related to Fatal Accident Inquiries and other relevant programmes.

Responsibilities

* Develop and manage a project SharePoint/MS Teams site, ensuring all documents are uploaded with proper version control and are current. Collaborate with stakeholders for this.
* Support the project/programme manager and team in developing and presenting reports and statistics.
* Attend meetings, provide secretariat support, and operate a deadline reminder system.
* Arrange meetings, manage diaries, and support document and data management structures.
* Manage meeting room bookings, travel arrangements, and catering with minimal support.

Qualification Requirements

A minimum of five National 5 (or equivalent) qualifications, including English and Mathematics, or relevant experience.

Knowledge, Skills, and Experience

* Proficient in MS Excel, MS Word, SharePoint.
* Ability to use ICT tools effectively and manage SharePoint sites.
* Ability to produce clear minutes and reports, interpret data, and work in a project team environment.

* Relationship & Collaboration, Plan & Organise, Accountability & Initiative, Listen & Communicate.
