Role Summary

We are seeking an IT PMO Specialist to join our team and play a key role in supporting the successful delivery of IT projects across the business. This is an ideal opportunity for someone with experience in project coordination or project support who is looking to take the next step toward a career in project management.

In this role, you’ll provide essential project management and administrative support to the IT PMO team—supporting project planning and initiation, coordinating stakeholders, tracking progress, and reporting key metrics across the IT project portfolio.

You’ll work closely with IT PMO leadership, IT project managers, cross-functional teams, and external vendors to ensure projects stay on track and deliver value. Your contributions will include helping to document requirements, identify and manage risks, facilitate effective communication, and support projects being delivered on time and within budget.

This role is based in Stevenage, with an expectation of being on-site 3 days per week, depending on business needs.



Key Responsibilities

* Monitor and report on key project milestones, quality measures, and delivery stage gates to ensure deliverables meet PMO standards, methodologies, and stakeholder expectations.
* Schedule and organize meetings, workshops and other project activities as needed.
* Assist in preparing weekly status reports and other updates for stakeholders.
* Manage small projects or workstreams within larger projects and programs.
* Maintain and update project documentation, including project plans, RAID logs, communication plans, and budgets, in line with PMO governance and methodology.
* Monitor and mitigate risks throughout the project lifecycle, escalating critical issues as necessary.
* Capture, track, and manage workstream change requests and documentation with the IT PMs.
* Support project resource management and ensure any constraints or issues are escalated promptly.
* Coordinate procurement activities, including raising purchase orders, reviewing invoices, and ensuring that Statements of Work (SOWs) are executed by appropriate parties and that ongoing support contracts are in place to enable successful project-to-BAU transition.
* Facilitate communication between team members, cross-functional teams, and external vendors to ensure projects are delivered on-time, within budget, and to required quality.
* Ensure compliance with relevant regulatory and internal standards during project activities.
* Support the creation of user manuals, training materials, and documentation for project implementation and system support transition.

Skills & Experience

E: Ability to use project management tools (e.g., SmartSheet [Preferred]; Excel, JIRA, etc.)

E: Experience organizing project management activities, including meetings, timelines, deliverables, project communications

E: Strong ability to proactively and effectively communicate with stakeholders at all levels

E: Excellent written and verbal communication, with experience developing professional presentations, messaging, and project communications tailored to specific audiences/stakeholder groups

E: Ability to work with a diverse set of stakeholders, including internal IT teams, cross-functional teams, and external vendors

E: Experience supporting PMO/IT Project Management or other complex project management industry (Finance, Manufacturing, Technology, Compliance, etc.) experience

E: Strong team player with a proactive, can-do attitude and the ability to work in a fast-paced environment

E: Understanding of the fundamentals of project management processes, including planning, scheduling, and reporting

E: Strong organizational and time management skills, with the ability to manage multiple tasks and priorities

P: Experience in managing small projects or workstreams within larger projects or programmes

P: Exposure to or experience working in regulated industries (e.g., Pharma, Healthcare, Finance)

P: Experience in a Junior PM, PMO Specialist, Project Analyst, or similar role within the IT sector or other technical industries

Qualifications

P: Project Management Professional (PMP) certification, PRINCE2 certification, or equivalent experience
