Job Description:

Summary

The main responsibility will be handling and recording orders and international shipments, including issuing import/export documentation. Maintaining solid customer relationships by handling questions and concerns with speed and professionalism. Receiving and following up on customer complaints, managing ERP database records, and supporting the direct sales organization.

Must be able to speak German

Essential functions:

* Order processing, sending PO confirmations, communication, proposing alternative items in case of backorders, organizing and following up on international shipments, supporting data entry in customer files.
* Proactively managing international business queries from around the world, including pre-screening, re-routing, and providing timely responses to customers.
* Interacting with the warehouse to communicate order requirements (packaging, labeling, etc.), coordinating with customers and logistics for cost-effective and timely dispatch.
* Ensuring order compliance with distributor agreements.
* Issuing shipping documentation.
* Issuing customer credits (e.g., AQ complaints, correcting improper invoicing).
* Following up on overdue accounts: issuing customer statements, sending reminders to overdue payers.
* Maintaining ERP system data: creating and updating customer cards, uploading prices.
* Following up on quality complaints: reception, verification, organizing returns of defective products, updating complaint records.
* Monitoring product recalls: customer notification, data collection, organizing returns, issuing exchanges or credit notes.
* Archiving customer service documentation for audits.
* Supporting the sales team with various requests.
