Role Overview
The Patient Booking Coordinator is responsible for managing patient enquiries and coordinating appointment bookings to ensure clinic diaries are optimised and patients receive a professional and welcoming experience from their first interaction with the practice.
This role plays a key part in supporting clinic efficiency, improving patient attendance, and ensuring a smooth flow of appointments that supports treatment conversion and overall clinic performance.
Key Responsibilities
* Manage incoming patient enquiries via phone, email, WhatsApp, and online platforms
* Book and coordinate patient appointments efficiently while optimising clinic diary utilisation
* Ensure patients receive clear information regarding appointment availability and services
* Monitor and reduce failed-to-attend (FTA) appointments through proactive communication and reminders
* Work closely with clinicians, reception teams, and Treatment Coordinators to coordinate patient journeys
* Maintain accurate patient records and booking documentation
* Follow up missed calls and online enquiries promptly
* Communicate diary changes, cancellations, or urgent booking requests to the relevant team members
* Support clinic performance by maintaining efficient scheduling and patient flow
What We’re Looking For
* Previous experience in a receptionist, call centre, or customer service role
* Excellent communication and telephone skills
* Strong organisational skills and attention to detail
* Friendly, professional, and patient-focused approach
* Ability to manage multiple tasks and work in a fast-paced environment
* Confident using booking systems or CRM software
* Reliable, proactive, and able to work within a performance-driven environment
