Hire Desk Controller – Crane Hire Operations

Adco Crane Hire Ltd is seeking a proactive, organised and customer-focused Hire Desk Controller to join our growing team. This is a key role within our business, responsible for managing the complete hire process — from initial enquiry to equipment return — ensuring smooth operations and top-tier customer service.
This is an excellent opportunity for someone with a background in hire desk coordination, logistics, or construction support who thrives in a fast-paced environment.
Key Responsibilities
• Customer Service & Sales
Handle incoming hire enquiries via phone, email, and online systems, providing advice, quotes, and securing bookings.
• Coordination & Scheduling
Liaise with transport, engineering, and crane teams to ensure timely delivery, operation, and collection of hired equipment.
• Order & Resource Management
Accurately log and manage bookings, coordinating the availability of cranes, operators, and drivers.
• Relationship Building
Build and maintain strong working relationships with clients, site teams, engineers, and internal departments.
• Revenue & Efficiency Focused
Convert enquiries into confirmed orders and identify opportunities to maximise utilisation and sales.
• Administrative Accuracy
Maintain accurate records, process paperwork, input data into QuickBooks, and ensure compliance with all policies and regulations.
• Compliance & Safety
Ensure all activities meet company, legal, and HSE standards.
Skills & Experience
• Previous experience in a hire desk, logistics, plant hire, or construction admin role (preferred)
• Strong organisational skills with the ability to manage multiple tasks and priorities
• Confident communicator with excellent verbal and written communication skills
• IT literate – comfortable with Microsoft Office, email systems, and CRM software
• Experience using QuickBooks or similar invoicing/accounting software
• Knowledge of the crane hire or construction industry (advantageous but not essential)
• Ability to problem-solve quickly and calmly under pressure
