Personal Assistant Location: Newcastle City Centre Salary: Competitive Job Type: Full-Time, Permanent, On-site Hours: Monday to Friday, 37.5 hours per week About the Role This is a high-level support position reporting to the director team. As Personal Assistant, you'll play a central role in ensuring the directors schedules, meetings, and priorities are managed effectively. You'll act as a trusted gatekeeper, organiser, and problem-solver, handling confidential matters with professionalism and efficiency. This role is ideal for someone who thrives in a fast-paced environment, enjoys variety in their work, and is confident in taking initiative. From managing complex diaries to preparing executive reports and driving forward key projects, your work will help shape and streamline the daily operations of the executive team. Key Responsibilities Act as a primary point of contact between the CEO, Directors, and Senior Management Team. Provide full personal assistant support to the CEO and senior leadership team. Greet and assist visitors professionally; ensure reception and executive areas remain tidy and welcoming. Manage hospitality for office guests, meetings, and events Organise and manage corporate events as required. Maintain an efficient administrative system for the Head Office. Oversee office inventories, order supplies, and ensure equipment is maintained. Report building issues to management and ensure a safe, comfortable work environment. Manage executive calendars, arrange internal and external meetings, and coordinate travel as needed. Create and prepare reports, presentations, and documentation. Take accurate meeting minutes and ensure timely follow-up on action points. Coordinate onboarding of new Head Office staff including IT setup and equipment. Maintain the company mobile phone inventory and contact list. Communicate important updates and announcements across the team. Carry out any other reasonable duties as directed by the CEO or Directors. Qualifications & Skills Previous experience in a similar PA role (preferred). Strong organisational and multitasking skills with excellent attention to detail. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to work under pressure, meet deadlines, and adapt to changing priorities. Knowledge of GDPR and data protection regulations. Degree-level education (preferred). High level of discretion, professionalism, and initiative. Friendly, approachable, and able to represent the business confidently. Experience in project management is desirable. Flexible approach to working hours when needed.
