Job Title: Junior Procurement Coordinator
Department: Procurement
Report to: Head of Procurement & Operations
Job Summary:
The Junior Procurement Coordinator plays a role in supporting the procurement and interior design team by assisting with the procurement process for various projects. The role involves sourcing, pricing, and coordinating the acquisition of materials, furnishings, and equipment necessary to bring design concepts to life. The Junior Procurement Coordinator role requires team player skills and procurement experience working on high-end luxury projects and liaising directly with high-net-worth clients. The role will involve supporting the procurement team with project management and installation of high-end luxury projects.
Key Responsibilities:
Procurement Coordination:
· Assist in the sourcing, negotiation, and procurement of materials, furnishings, and fixtures required for interior design projects.
· Coordinate with suppliers, vendors, and manufacturers to obtain quotes, lead times, and product specifications.
Order Processing:
· Prepare purchase orders and send for approval. Review order confirmations for accuracy and compliance with project specifications.
· Assist preparing tender packages for bespoke specification packages and review suppliers, pricing and specification with procurement and interior design team.
· Coordinate the submission of necessary documentation, such as samples and swatches, to design teams for approval.
Sourcing and Vendor Management:
· Identify and research potential vendors, suppliers, and manufacturers for materials, furnishings, fixtures, and equipment required for interior design projects.
· Build and maintain strong relationships with new and existing suppliers.
· Resolve any discrepancies with suppliers in a timely manner including logistics, snagging and financial.
Budget and Cost Control:
· Assist with creating project budgets by providing accurate cost estimates for materials and services.
Logistics and Coordination:
· Track the progress of orders, ensuring timely deliveries and resolving any logistical issues that may arise. Raise any issues which will jeopardies project delivery.
· Review supplier/warehouse delivery notes and condition reports to ensure all information is accurate.
· Assist during installations and work with the design team to ensure smooth client delivery.
Quality Assurance:
· Inspect received goods to ensure they meet quality standards and match specifications outlined in purchase orders.
· Address any discrepancies or defects in a timely and effective manner.
Administrative Support:
· Maintain accurate records of procurement activities, including purchase orders, invoices, order status, lead times, and delivery schedules.
· Support administrative tasks related to procurement, including documentation, filing, and reporting.
Required Skills & Experience
· 1+ years’ experience within a similar in the interior design industry
· Bachelor's degree in Interior Design, Business Administration, Supply Chain Management, or a related field (preferred).
· Experience in procurement, vendor management, or a related role, ideally within the interior design, architecture, or construction industry.
· Good negotiation skills and the ability to build and maintain vendor relationships.
· Great organizational skills with the ability to prioritise workload to meet deadlines
· Detail-oriented with a focus on accuracy in documentation and reporting.
· Effective communication skills, both written and verbal and team working skills.
· Ability to work collaboratively in a team environment and adapt to changing project requirements.
