Main Duties of the Job
1. Provide efficient and professional administrative support to the Oncology Unit, including reception duties and patient booking, ensuring Patient Administration Systems are current.
2. Greet patients and visitors, address queries or refer them to relevant staff.
3. Maintain and coordinate clinic appointments, liaising with Consultants and the Ward Manager.

Job Responsibilities
1. Greet and direct patients and visitors, update their details in Lorenzo and Mosaiq systems per Data Quality Standards and Patient Access Policy.
2. Handle all phone inquiries professionally, escalating as needed.
3. Schedule follow-up appointments, liaising with staff and ensuring clinics are not overbooked and patients are reviewed timely.
4. Process patient attendance outcomes, including reappointments, discharges, DNAs, or waitlist additions.
5. Reschedule or cancel appointments as requested.
6. Keep Patient Administration System updated with current ward and consultant information.
7. Manage stock and reordering of consumables.
8. Communicate with external and internal healthcare bodies.
9. Maintain accurate patient notes and ensure proper filing and tracking per policies.
10. Prepare patient notes for admissions and clinics, ensuring availability before patient arrival.
11. Arrange patient transport when needed.
12. Photocopy documents as required.
13. Utilize other systems like Mosaiq, Portal, and Lorenzo.
14. Distribute mail efficiently within the team.
15. Perform any other duties appropriate to the role.

Person Specification
Experience and Knowledge
* Proven experience in delivering high-standard administrative tasks in a patient-focused environment.
* Experience dealing professionally with patients and the public.
* Knowledge of managing paper and electronic records.
* Experience working within NHS or medical services.
Qualifications and Training
* GCSEs in Maths and English at Level 5 or above, or equivalent.
* Administrative or Customer Service skills at Level 3 or equivalent experience.
* Previous healthcare administration experience preferred.
Skills and Abilities
* Good literacy and IT skills.
* Ability to work calmly under pressure and prioritize tasks.
