Procurement and Telecoms Administrator

The main purpose of this role is to undertake the procurement of all IT & Telecom related equipment and services on behalf of the S&SHIS and its Customer organisations, provide an internal procurement service to S&SHIS colleagues and teams, provide administrative and billing support to the 2nd Line IT Orders Manager, and provide support, mentor and supervise apprentice/temporary staff including allocation of duties to ensure all processes/procedures are adhered to.

Main duties of the job
* Responsible for ordering all IT related hardware, software, solutions and services for S&SHIS Customer Organisations and internally for the S&SHIS teams.
* Responsible for ordering all mobile Telecom and IPT/analogue telephony related hardware, solutions and services for S&SHIS Customer organisations and internally for the S&SHIS teams.
* Undertake ordering through delegated ordering and e‑requisitioning for S&SHIS Customer organisations.
* Support the IT Orders Manager with the identification and investigation of fraudulent use of all telecom services.
* Maintain accurate budget records for the ordering of equipment for both S&SHIS and Customer organisations, and provide support to the S&SHIS Business Manager and the Procurement Team Supervisor relating to all budget and order enquiries.
* Audit all new equipment received by the Service, ensuring each item is allocated a unique reference number, added to CMDB, protected with security markings, built/configured using automated Build technologies (SCCM), and prepared for technician delivery and installation.
* Support the IT Orders Manager in IPT and analogue line billing and liaison with customers and suppliers regarding call charges and new/additional services.

Job responsibilities
* Detailed knowledge of IT & Telecom solutions/contracts/products/suppliers to assist with support and purchase enquiries/arranging quotes.
* Responsible for placing orders on S&SHIS Customer organisations' own supplies/ordering solutions.
* Responsible for ordering mobile telecom equipment and contract services directly with 3rd party suppliers.
* Required to use visual display equipment more or less continuously on most days.
* Knowledge and experience of using Microsoft Enterprise Solutions for the imaging of desktop devices.
Qualifications
* NVQ 3 above or equivalent in Administration.
* Advanced computer literacy in Microsoft Office (Excel, Word, Outlook) to diploma level or equivalent.
* RSA Level 2 Word processing / typewriting.
Experience
* Experience of Telecoms/ Procurement/ Administration role within NHS.
* Supplier/3rd party account management experience.
* Customer service and complaints handling experience.
Skills, Knowledge and Abilities
* Ability to communicate with staff at all levels of the organisation and partner organisations where necessary.
* Demonstrate a customer service focus whilst carrying out duties.
* Ability to communicate technical issues to non‑IM&T literate persons at various organisational levels.
* Understanding of NHS standing financial instructions and procurement systems and services.
* Knowledge of local NHS Customer Organisations.
* Knowledge of Telecommunications technology.
* Use of Microsoft Enterprise Solutions such as System Centre Configuration Manager (SCCM).
