Overview

This role is ideal for individuals looking to begin or develop a career in administration within the NHS. Ophthalmology is one of the Trust’s largest services, offering a diverse range of sub‑specialties and processes. Gaining experience in this department will provide the successful candidate with a strong foundation of knowledge and skills, supporting future progression opportunities within the Trust. A comprehensive induction programme and structured training will be provided, alongside opportunities for ongoing professional development within a supportive team environment.


Key Responsibilities

* Respond to patient queries via telephone in a professional and compassionate manner.
* Support the daily cashing up of clinic activity.
* Book patient appointments in line with Trust guidelines.
* Maintain strict adherence to Information Governance policies.
* Provide general administrative support to ensure the smooth running of the service.
* Receive and accurately input referrals.
* Manage emails from clinicians and service users.
* Validate waiting lists.
* Undertake clinical coding and support the cashing up of clinics.
* Communicate with patients both over the phone and face‑to‑face, including booking and rearranging appointments and responding to enquiries.
* Apply effective problem‑solving and time‑management skills to support daily operations.


Qualifications

* Experience of working in an office environment (essential).
* Good basic standard of education, demonstrating excellent communication skills and numeracy (essential).
* Minimum of 5 GCSEs, NVQs or equivalent qualifications (desirable).
* Experience working with patients in an administrative environment (desirable).


Skills & Behaviours

* Basic computer literacy and willingness to further computer skills.
* Demonstrated ability to undertake training to carry out a job.
* Ability to use the Trust’s Patient Administration system (desirable).
* Fair, honest and consistent approach.
* Understanding of the Outpatient Management Policy and other policies in use at the Trust.
* Diplomatic, self‑motivated and enthusiastic with a professional attitude.
* Good team player, able to work flexibly in a diverse and demanding environment.
* Demonstrated ability to work within local guidelines.
