Surveying Executive
The Surveying Services team sits within the Property & Asset Management department. The team are responsible for managing the property estate for their clients, with a focus on delivering industry leading management of their client’s properties, contributing to the Centre of Excellence and maintaining strong relationships with each client.
This is an exciting role for anyone who has extensive experience in property management and looking to progress in their career.
The role is with one of main client LaSalle Asset Management in our London Team.
General Expectations Will Include
1. Maintaining accurate property database. Instructing JLL’s Data Management Team to update database for leases, licences to assign, change of landlords etc. Verifying changes to database.
2. Checking and approving invoices.
3. Checking demands to be raised to tenants including ad hoc recharges.
4. Managing day to day relationship with JLL’s utility partner and overseeing recharges to tenants.
5. Support the annual insurance renewal process for the client including checking RCA figures, tenancy details and draft certificates before they are recharged to tenants.
6. Responding to requests for documents.
7. Arranging inspections fir surveyors, contractors and the client tracker
8. Preparing reports from database, creating and updating spreadsheet-based reports.
9. Responsible for and team or client SharePoint portal including loading of reports.
10. Manage holiday and absence tracker for the team.
11. Managing teams’ calendars for holidays, co-location and out of hours support.
12. Support Contract Director with preparation for client meetings, welcoming new starters into team etc
13. General further support where required.
14. Co-ordination of updates for reporting, to include chasing other agents for monthly updates, preparing and checking output
15. Fee billing
16. Liaison with both internal and external clients to co-ordinate database services and information, including managing the processes involved in new property and/or portfolio management instructions and properties going out of management
17. Weekly property inspection reporting
18. Weekly insurance claim updates, liaising with loss adjustors and surveyors to ensure they’re followed through as efficiently as possible
19. Undertaking insurance reviews of data (construction info updates, tenant insured reviews with TBIAS and the client etc).
20. Liaising with the brokers regarding any insurance queries and their accounts team to ensure accounts are all up-to-date
