The Impact You'll Make in this Role This role supports consistent delivery of 3M's Health Information Systems Division's products, services and supporting business activities. Responsible for implementing standard data management processes and procedures of the HIS Division at the regional level, the Data Privacy Coordinator for the North Europe Region (UK, Ireland and Nordics) identifies local business requirements and helps implement strategies to meet divisional and corporate requirements in the operations of the HIS Division, as well as to comply with relevant regulations. As a Data Privacy Coordinator, you will have the opportunity to tap into your curiosity and collaborate with some of the most innovative and diverse people around the world. Here, you will make an impact by: Utilizing your project management expertise to manage GDPR / Compliance projects of various duration lengths using defined company processes and tools to produce the desired results. Scheduling, coordinating, documenting, and monitoring all DP compliance activities and tasks to facilitate division priorities. Tracks assigned tasks and associated completion dates, ensuring process work flow is accurately followed. Initiating actions to lead projects, linking project steps to business strategies. Ensuring Data Protection project objectives and deadlines are met. Presenting project recommendations to appropriate personnel that demonstrate sound planning and risk mitigation in support of achieving business needs and goals. Initiating actions to design, develop and implement new or improved projects or processes; leading the implementation of risk anticipation, problem identification and resolution. Monitoring and reporting on the regional 'threat horizon' to anticipate risks which might derail or cause a project to be re-assessed or re-aligned; taking initiative to assess and evaluate the threat posed by such risks and to propose appropriate mitigation measures in a timely manner. Vendor management - pre-engagement screening and ongoing monitoring and audit of sub-processors and service providers. Provide support and privacy-specific training to NER staff in relation to their processing of personal data. Support with preparation and completion of various DP and Privacy Assessments, whether initiated internally or requested by Client organisations. Completing and maintaining DTAC documentation for new and existing products, where appropriate. Liaising with relevant authorities and DP points of contact at Client organisations to respond appropriately to their requirements. UK GDPR-specific responsibilities include: Updating 3M HIS' register of data processing activities (RoPA) for all new customers and products as well as monitoring and recording changes to existing processing activities and client engagements. Contributing to review and implementation of contractual arrangements with Clients and partner organisations. Implementing procedures to record key information needed such as Data Protection Officer and Data Processing Agreement details of 3M HIS customers. Updating 3M HIS' product inventory and data inventory including international data transfers. Documenting and tracking procedures for customer and product support accounting for international data transfer restrictions. Monitoring relevant legislation and regulatory guidance for changes which might impact such contractual agreements. Supporting contract management activities including identifying and tracking contractual requirements with business stakeholders as appropriate. Initiating divisional processes and responses related to individual rights requests, incident management and breach responses as appropriate; facilitating information gathering, incident investigation and reporting as directed by process owners. Contributing to documentation describing how 3M HIS processes personal data and ensures compliance. Facilitating information gathering for internal or external audits as directed by audit or compliance resources. Facilitating discussion with client representatives and staff in relation to the appropriate processing of personal data by the organisation; receiving, escalating and managing data privacy-related complaints in a timely and appropriate manner. Responding to staff queries in a timely manner in relation to the management, retention and processing of their personal data; Monitoring any such processing conducted by third party service providers engaged by the organisation. Liaising with and actively participating in discussions, policy reviews and projects managed and conducted by the organisation's Privacy Programme leadership.
