Job Responsibilities
* Work with and support the Chief Executive and Executive Directors in Business Management.
* Deliver on specific projects as directed by the Executive Director to support the delivery of the County Council's key priorities, such as workforce planning, development, and maintenance of service plans.
* Support governance arrangements and the organisation and delivery of key council meetings.
* Liaise with other corporate services including Democratic Services, Internal Audit, and Information Governance to ensure timely completion of reports.
* Independently carry out complex tasks of higher risk nature due to supporting the Chief Executive and Executive Directors.
* Lead on the delivery of priorities from Forward Plans and Executive Management Team.
* Provide research into current issues facing the directorates and council, including current events and government policy announcements.
* Participate in and support working groups with the planning, preparation, and organisation of inspection and peer reviews.
* Prepare presentations for high-level meetings and research the content for factual accuracy.
* Understand the hierarchy of contacts, local protocols, and issues of relative priority.
* Liaise with Chief Executive, Executive Directors, and Heads of Services to ensure coordination of strategies/reports.
* Produce reports and data analysis for Corporate Management Board as directed.
* Prepare and circulate Directorate newsletters.
* Provide information, advice, and guidance to the wider team and internal customers by interpreting established procedures, using experience, and applying best practices.
* Coordinate and liaise with the Internal Audit Manager, track key risk areas, and ensure action is taken on recommendations.
* Prepare and coordinate business cases for workforce planning and provide recruitment support.
* Coordinate and support in arranging workshops, conferences, and general event planning.
* Communicate with other agencies and service providers to share information, build working relationships, and ensure joined-up service provision.
* Identify issues of urgent response and ensure effective communication with ED/D.
* Undertake other activities of a similar nature that fall within the remit of your area of work as directed by service management.
Person Specification
* 4 GCSEs at Grade A*-C or 9-4, including English and Maths.
* Recognised vocational or professional qualification plus broad experience in area of expertise, or working towards a professional qualification.
* Detailed knowledge and awareness of council policies and services.
* Excellent working knowledge of Microsoft programs, especially Outlook, PowerPoint, Word, and Excel.
* Experience of working alongside senior leadership in a supporting role.
* Experience of supporting a director, including minute taking and diary management.
* Strong organizational skills with the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
* Very strong interpersonal skills and the ability to build relationships with stakeholders.
* Ability to anticipate problems and have foresight to prevent issues arising.
* Ability to use own initiative when acting on behalf of the Chief Executive/Directors.
* Problem-solving capability and analytical skills.
* Ability to informally train and mentor less experienced staff.
* Ability to influence others based on technical or professional expertise.
* Ability to build and maintain effective networks and relationships.
