Main duties and responsibilities

1. Working with the Finance Team to deal with all invoices coming into the company through computerised systems.
2. Updating and maintaining supplier records.
3. Setting up new supplier records.
4. Reconciling and creating supplier payments through the different banking systems.
5. Reconciling employee expenses through computerised systems.
6. Ordering and delegating company stationery.
7. Creating credit notes relating to support calls and ensuring all credits are authorised by the relevant personnel.
8. Reconciling petty cash each week.
9. Administrative duties in the office.
10. Uploading of EDI invoices to customer finance portal for payments.
11. Assisting with posting and allocation of all customer daily payments; cheques, BACS and credit cards, in line with daily timelines.
12. Reconciling unallocated payments.
13. Updating and maintaining customer records.
14. Logging of customer queries onto in-house query management system.
15. Convert customer paid quotes to order in line with daily cut offs, maintain and reconcile daily spread sheet.
16. Completing the daily invoicing routine of posting all invoices onto the customers’ accounts.
17. Send copy invoices and statements to customers as requested.
18. Allocating proforma accounts to ensure all payments are matched in for month end.
19. Assist in new account application by obtaining satisfactory credit references. Gather all data for new accounts for manager approval. Opening new accounts on the system and sending welcome emails out to the new customers.
20. Any other reasonable duties which may be required by management from time to time.
Essential requirements
21. Currently a full time students registered with a NI University, working towards a Finance or Business-related degree
22. Strong IT skills including proficiency in Microsoft packages
23. Excellent time management and organisational skills
24. Effective communicator with the ability to communicate at all levels
25. Accuracy and attention to detail
26. Ability to learn new skills and tasks quickly
27. High degree of motivation and enthusiasm
28. Able to work in a team or individually, as required
