Job Purpose Summary:
As an Administrator in our AV team, you’ll have a role that’s absolutely central to our structure and ongoing growth.
Right across all of our existing contracts, and supporting all new tenders, the AV Administrator makes a difference every day in supporting the sales and operations team with raising quotes, invoicing and raising PO’s for suppliers.
Day-to-day, you’ll support our account delivery teams by actioning our innovative and pragmatic commercial solutions for our customers, and our business.
As part of the day to day role of the commercial manager, you will lead the relationship with our suppliers, working closely with the operations team to understand solution requirements and work to secure best value for Paragon on all works undertaken. The successful candidate will undertake invoicing, P&L and budget delivery and reporting, helping the senior team to shape that reporting and financial oversight structure as the business continues its rapid growth.
The right candidate is financially and commercially literate with a strong personality and great attention to detail. You must have a passion for process as well as the ability to negotiate with suppliers right across the world, and the personality to just ‘get things done’.
Make no mistake the role is admin heavy, supporting the commercial aspect of a growing business, but you will have a huge role in shaping the foundations of ‘how things are done’ while still having the support and infrastructure that working within a huge commercial business provides.
Key Responsibilities:
* Financial Administration:Ensure all quotes, invoices and PO’s are organised in a timely and prioritised manner. The role is responsible for the creation of all supplier PO’s and client invoicing as well as ensuring records and systems are kept updated and accurate at all times.
* Vendor Management:Working alongside the Head of AV and the Operations Manager, ensure the correct vendors are selected for each contract and requirement. Work with existing and onboard new suppliers, ensuring the supplier used offers best value for Paragon and our clients. Build strong partnerships with suppliers, creating value added synergies between our operations and theirs, to deliver for our clients.
* Live contracts and tender commercial support:Provide commercial support for new client tenders and new projects for existing clients. Working with the account teams develop clear requirements and specification documents to manage pricing and costs as part of tenders.
* Documentation & Process:Maintain accurate records, developing and evolving process and software solutions to be fit for requirements.
* Adherence:Collaborate effectively with colleagues to ensure all parts of the business are compliant with required processes, reporting and record keeping.
* Reporting and oversight:Assist in the delivery of P&L and financial performance reporting, alongside Head Of AV, to internal senior management and commercial teams.
* Internal Collaboration:Work with internal commercial teams across the Paragon business to ensure AV is aligned with company requirements and processes at all times.
Experience and Skills Required:
* Experience:Some demonstratable experience in managing business administration, financial control and the setting up and rigorous management of process.
* Technical Proficiency:Solid understanding of excel, financial management systems and the use of PO’s and invoicing.
* Communication:Excellent verbal and written communication skills with a focus on having a analytical and detail orientated mindset. Ability to build relationships with suppliers while still remaining impartial and objective in difficult cost negotiations.
* Teamwork:Ability to collaborate with team members and work independently when required. A ‘get things done’ personality who is happy to question team members ways of workings and ensure they follow laid out procedure and process.
* Adaptability:Thrives in a fast-paced environment and demonstrates a proactive, flexible approach to problem-solving.
* Organisation:An organised and efficient personality type, who thrives working within clear and defined process, supporting others to do so too.
* Prioritisation:Ability to effectively prioritise tasks in a high-volume, dynamic environment using existing, or create new, processes and systems.
* Effective:Someone who just gets things done!

If successful within your application you will receive a fantastic annual salary of between £32k - £39k per annum.
