The Ridge Newcastle office are seeking a professional Administrator / Team Secretary with excellent communication and interpersonal skills to play a key role in supporting the growth of the Newcastle Office by providing both Administration and Bid support for all our disciplines within our Newcastle office. Due to the nature of this role, the person will be required to work in the Newcastle office Monday - Friday.
Listed below are some of the key responsibilities to help you understand this exciting opportunity:
General management of the office tasks such as compliance, and servicing of equipment
Assisting with the office social value commitments such as charity events, and volunteering days
Assisting with local bid writing using various software packages
Organise meetings, including room bookings, refreshments and facilities set-up
Assist with onboarding of new team members
Raising invoices and assisting with debt chasing
Attending team meetings and minute taking where necessary
Attending external client and project meetings and minute taking where necessary
Arranging and attending client events, updating contact lists and directories
Preparing presentations – Assisting with fee letters, reports, formatting and typing for the team
Setting up jobs, purchase orders, opening submissions and projects on our database system
Booking train tickets, travel and accommodation for the team
Working closely with project leads to aid data entry for the team in Workspace
Co-ordinating and arranging access for surveyors; liaising with occupiers and the client
Managing team equipment including maintenance and purchasing replacement items as required
Providing main reception cover as required
Provide cover, as required, for other team administrators.
What will I need to be successful?
You will need a positive, ‘can-do' attitude, be highly organised, and able to work on your own initiative
Your ability to prioritise and plan, balancing priorities and deadlines will ensure your success in this role
Excellent communication and interpersonal skills and a strong understanding and experience of using Microsoft Outlook, Teams, Word, Excel and PowerPoint is essential
Since the role will involve supporting the Partners, we require total discretion and confidentiality
Proficiency with Adobe InDesign advantageous, but not essential.
You should have experience of working as part of a team and be a strong Administrator who is highly organised, self-motivated and able to work on your own initiative. Your friendly manner and ability to prioritise and plan, balancing priorities and deadlines will ensure your success in this role.
