Job Description

Are you an organised, accurate, and proactive person with experience of working in administration? Do you have excellent customer service skills and the ability to work well both on your own and as part of a team?

The successful candidate will need a basic understanding of Chronicle processes and preferably experience of working within the Learning and Training environment. This role is working in a fast paced environment, therefore the ability to work under pressure and adapt to changing priorities is key.

To ensure the provision of a range of high quality administrative and support services to the Learning department, Force and external partners, to ensure that training is planned and delivered effectively and efficiently. Ensure all work is delivered to a high standard within agreed timescales and in line with requirements and processes.

You will work within the Learning Administration and Coordination team, and liaise with trainers and Learning managers to ensure the delivery of required training to the Force and external partners.


Your Role Will Include

* Booking classrooms, trainers and resources in accordance with course programme, providing administration support to the relevant portfolio coordinator, escalating matters for their attention and assisting them in the preparation and presentation of reports, auditing requirements and national data returns
* To contribute flexibly across the unit functions and activities, including effective use and management of our Learning Skills Management system to assist with course and training administration.
* To be responsible for maintaining accurate skills, accreditations, and training records for the force in line with data protection legislation. Duties to include ensuring course details are correct, booking students onto courses or liaising with Resources to ensure courses meet minimum numbers, closing courses, accurately allocating skills, and running reports to ensure the department are training effectively and efficiently.
* To be responsible for quality checking data, challenging any learning data anomalies to the coordinator or team leader, to ensure that the data recorded is accurately reflected.
* To maintain course attendee levels in order to operate within course budgets, within defined parameters, including filling places by sourcing from waiting lists, contacting external stakeholders, agencies and other Constabularies.
* Calculate course charges and training fees and manage purchase orders to ensure Learning budgets are managed and efficient payment is made to suppliers.
* Support all office administrative requirements such as collection of post, bookings spreadsheets, ensure the replenishment of consumables, equipment repairs, photocopying, accommodation requests and allocation of IS and proxy cards as required.
* Respond to and resolve all service requests and issues, queries and complaints to achieve service aims. Receive, investigate, where necessary and action requests for services, to include premises fault reporting, room bookings and hospitality requirements.
* To assist in data collection for external requests for data on performance and related matters including FOI requests.
* To work collaboratively with colleagues to contribute positively to the achievement of organisation objectives and to undertake any other administrative support work as directed, including working at different locations, in order to provide business continuity and to enable the Learning team as a whole to fulfil Constabulary-wide needs.

What do you need?

* Experience of working in an administration function
* Experience of using IT systems, including Microsoft Office applications and LMS systems such as Chronicle
* Ability to work on own initiative and as part of a team
* Excellent customer relation skills to liaise with suppliers, internal and external customers both verbally and in writing
* Experience in accurate data extraction and input

This is a blended role so you will be able to work from home for the majority of the time. You will work at Wilfred Fuller VC Operational Training centre with the team once a week. Full initial training will be provided in person.

Working hours shall be: Tuesday, Wednesday, Thursday and Friday 11:00am - 16:00pm.
