The Part-Time Role

We are looking for a diligent and experienced Part-Time Project Coordinator to join our Operations Team for 21 hours per week.

You will play an integral role in upholding our commitment to exceptional service, working closely with our Customer Relationship Team (CRT) and Project Management Office (PMO). Your focus will be on ensuring a seamless, full-lifecycle service for our clients—from initial solution advice and delivery through to post-implementation support.

You will be responsible for managing company projects from start to finish, ensuring outstanding communication with all stakeholders, including clients, suppliers, and internal teams.

Key Responsibilities

* Manage and coordinate company projects (classified as minor changes or major changes) following industry-standard PRINCE2 methodology.
* Collaborate with the CRT to advise on solutions and with the Operations Team to ensure successful delivery and support.
* Develop comprehensive project documentation, including the Scope of Work and Site Visit Briefs, ensuring alignment with the original sales proposal.
* Clearly communicate project timelines and expectations to customers, including the standard four-week lead time for new projects.
* Maintain accurate project records within the company CRM, ensuring all project documentation is correctly linked.
* Update project statuses (e.g., 'Not Started', 'In Progress', 'Completed') within the project management system to ensure clear communication across all teams.
* Conduct essential post-project activities, including securing customer sign-off, running 'Lessons Learned' sessions to refine internal processes, and gathering client testimonials or case studies.
* Ensure all project communications are recorded in the appropriate company systems (Service Desk or CRM) for service continuity.

Skills and Qualifications

* PRINCE2 Qualification: Proven understanding and experience in applying the PRINCE2 methodology to manage projects from initiation to completion.
* Proven Project Management Experience: Demonstrable ability in logical project planning, risk mitigation, and successful implementation.
* Strong Communication Skills: Excellent verbal and written abilities for professional liaison with clients, suppliers, and internal teams.
* Report and Documentation Writing: Proficiency in creating formal project documentation (e.g., meeting minutes, project plans, reports) using company templates.
* IT Technical Understanding: A solid grasp of IT and cloud technologies to effectively coordinate technical solutions. You will be working with solutions based on Google Cloud, Microsoft 365, Sophos, and D-Link, among others.
* Teamwork and Collaboration: Ability to work cohesively as part of the Operations Team and closely with the Customer Relationship Team, ensuring a unified approach to customer service.
* Meticulous Organisational Skills: Exceptional attention to detail for managing multiple project stages, documenting progress, and ensuring all deliverables are met.
* Customer-Centric Approach: A strong focus on delivering excellent customer service and maintaining proactive communication to ensure client satisfaction.

Desirable

* Experience working with CRM systems (specifically Insightly) and Service Desk platforms (specifically Freshdesk) for logging communications and managing project tasks.
* Familiarity with Google Workspace for daily productivity and collaboration.

Job Type: Part-time

Pay: £21,000.00-£26,250.00 per year
