Team player, part of the RFS Team, overseeing and following through and managing the works requested to completion. Ensuring best practices are followed, following and understanding the client processes and restrictions.
Key Responsibilities
* Print and allocate all maintenance and escorting jobs for southern sites to engineers and subcontractors
* Reassign workload to Tony when engineers are on annual leave
* Allocate all New Works RFSs
* Close off all RFS jobs, including adding labour hours and comments
* Regularly monitor the system to identify and manage outstanding jobs
* Ensure ticket statuses and details are accurate and up to date
* Request quotes from contractors
* Raise purchase orders (POs) for subcontractor callouts, engineer-related items, and client‑issued POs
* Manage all purchase orders through to invoicing and act as the main point of contact between contractors and Accounts
* Handle and progress day‑to‑day queries from customers, service desk, and contractors
* Respond promptly to customer calls and emails
* Deal with general enquiries from client staff and contractors
* Contact suppliers to expedite orders or resolve discrepancies
* Prepare quotes and issue them to the client and Client FM for approval
* Assist with revising RAMS (Risk Assessments and Method Statements)
* Support site inductions
* Write work authorisations
* Book jobs in with sites (temporary responsibility)
