Job Description
To manage, control, and maintain all project documentation within the fabrication yard, ensuring timely, accurate, and consistent flow of information between engineering, procurement, construction, quality, and client teams in accordance with project and company document control procedures.
The Role
* Receive, review, log, and distribute project documents (drawings, specifications, reports, procedures, etc.) in both hard and soft copies.
* Ensure that all documents are issued, revised, and archived according to the company’s document control procedures.
* Maintain and update document control registers, transmittals, and metadata in the Document Management System (DMS) or EDMS (e.g. SharePoint).
* Coordinate with engineering, quality, and construction teams to ensure the latest revisions of documents are available at all work fronts.
* Control internal and external correspondence, ensuring traceability and compliance with contractual requirements.
* Issue transmittals for client, vendor, and subcontractor submissions and maintain submission logs.
* Support the preparation and compilation of fabrication dossiers and handover documentation (QA/QC records, material certificates, as-built drawings, etc.).
* Provide training or support to site personnel on document control procedures when required.
Qualifications
* Degree in Business Administration or third level qualification
* Familiarity with ISO 9001:2015 document management requirements.
* Proficient in MS Office Suite (Excel, Word, PowerPoint, Outlook).
* Understanding of engineering drawings, welding documentation, and quality records.
