Department Overview: At Aston Martin, our Talent Acquisition (TA) team is essential in attracting the exceptional talent that fuels our growth and success. We are dedicated to delivering outstanding recruitment experiences for both candidates and hiring managers. The TA Coordinator offers administrative support, event planning management, and project assistance to the TA team, all Aston Martin hiring managers, candidates, and various external suppliers. Job Purpose: This hands-on role reports to the Talent Acquisition Delivery Manager and effectively serves Talent Acquisition (TA) Partners, hiring managers, and candidates. The position involves managing the entire TA lifecycle, from scheduling interviews to extending offers to candidates. The role acts as a crucial link between TA and HR administration, collaborating with HR Business Partners (HRBPs) to ensure an excellent candidate experience and hiring manager support. As a Talent Acquisition Coordinator, you will play a vital role in ensuring the smooth operation of recruitment processes. This role provides comprehensive support to TA Partners, focusing on interview coordination, early careers recruitment logistics, and various administrative tasks. Additionally, managing important internal relationships with departments related to AML. Key Duties and Responsibilities: Interview coordination Book, arrange, and manage candidate interviews, ensuring all logistics are confirmed with hiring managers and candidates. Reschedule interviews promptly and effectively in case of changes, ensuring clear communication with all parties involved. Maintain an organised system for tracking interview schedules and outcomes. Early Careers Recruitment Support Collaborate with TA Partners, Learning & Development (L&D), and stakeholders to coordinate early careers recruitment activities. Set up assessment centre schedules, ensuring all details are communicated to candidates and stakeholders. Liaise with candidates to provide timely updates and respond to queries regarding assessment logistics. Support the execution of assessment centres, including managing documentation, candidate packs, and on-the-day logistics. Administrative Support Set up and raise purchase orders (POs) and manage the end-to-end PO process, ensuring timely approval and payment Monitor and maintain accurate records for recruitment expenses and budgets. Provide general administrative support to the TA team, including document preparation, data entry, and reporting. Stakeholder Engagement Build strong working relationships with internal and external stakeholders, including hiring managers, candidates, and vendors. Act as a point of contact for candidate queries, ensuring a positive candidate experience throughout the recruitment process. Plan and manage the annual schedule of TA and recruitment events – this includes early careers, industry shows, university visits, agency briefings, resource planning and allocation Ensure the TA Admin function is responsive and supportive to stakeholders, candidates, and the TA and wider HR team, with a strong customer service ethic. Maintain TA processes and working practices and seek opportunities for improvement across all areas of the TA administration process Provide training to hiring managers and new TA team members on the ATS system. Liaise with HR Admin to confirm accepted offers and start dates. Manage the Recruit inbox, ensuring an efficient and effective response to queries by providing relevant advice and guidance to colleagues and management. Support the TA team and the wider HR team with projects to improve the effectiveness of the TA and HR function as a whole Internal roles and other support Prepare materials for the marcomms team to publish internally regarding internal roles. Support the Culture & Early Careers Lead with work experience applications and reporting on an ad-hoc basis Set up new hiring managers, update new paperwork, and manage ATS system access Experience and Qualifications: Essential: An understanding of Talent Acquisition (TA), HR principles, practices, and relevant regulations, including GDPR compliance. Previous experience in a fast paced talent acquisition coordination role. Exceptional administrative skills with a keen attention to detail, ensuring accuracy in all tasks. Proven ability to manage recruitment processes and ATS systems efficiently while adhering to legal and regulatory requirements. Strong organisational and multitasking abilities, thriving in fast-paced environments and meeting tight deadlines. Excellent verbal and written communication skills, effectively liaising with a broad range of stakeholders. Proficient in using recruitment software and Microsoft Office Suite (Word, Excel, Outlook, Teams). Demonstrated ability to handle sensitive information with discretion and maintain confidentiality. Preferred: Experience in TA or HR administration Ideally, experience gained within the automotive sector Experience of using ATS (PageUp) Skills and Behaviours: Experience working in a fast-paced, ever-changing environment, multi-tasking and having the ability to change direction easily. Good communication and interpersonal skills and ability to change style to suit the audience, working across all levels of the organisation. Ability to maintain confidentiality and handle sensitive information with discretion. Demonstrates attention to detail and creative problem-solving skills when supporting internal initiatives and managing system access, ensuring smooth operations across various internal projects. Additional Requirements: The post-holder will be required to travel to other Aston Martin sites to support TA activities, so a valid, current driving license is essential The requirement is to work on-site 3 days a week as minimal. Flexibility on start and finish times due to events and different locations is required.
