Swim England is the recognised national governing body for swimming, artistic swimming, diving and water polo in England. We help people learn how to swim, enjoy the water safely, and maximise their potential in aquatic sport at every level — from community participation to world-class performance.

The Institute of Swimming (IoS) is our training and education arm, delivering high-quality qualifications, CPD, and learning experiences for instructors, coaches, tutors and aquatic professionals across the country. We are committed to providing excellent customer service and ensuring every learner and tutor receives the support they need to succeed.

About the Role

We’re looking for an organised and customer-focused Course Administrator to provide high-quality administrative support across the Institute of Swimming’s training and education programme. This role ensures the smooth running of our courses by delivering accurate administration, efficient processes and outstanding customer service to learners, tutors and partner organisations.

You will be a key point of contact for customers, support the administration of courses from start to finish, and play an important role in maintaining the IoS’s reputation for professionalism, quality and reliability.

Key Responsibilities

Administration

- Input data across all IoS systems, following standard operating procedures to ensure accurate and up-to-date records.

- Complete general course administration, including quality checks on documentation, ordering resources and sending confirmation emails.

- Follow all finance processes (e.g. system vouchers, purchase orders, transfers and cancellations).

- Communicate with delivery venues to ensure all information and resources are in place ahead of courses.

Customer Service

- Respond promptly and courteously to customer enquiries by phone and email, providing accurate information and a positive experience.

- Advise customers on using the online booking system to support successful course registration.

- Resolve queries from customers, companies and tutors in a timely and professional manner to protect the reputation of the organisation.

Additional Responsibilities

- Carry out duties within the scope of the role as requested by the line manager or Head of Department.

- Proactively comply with and promote policies relating to Equality and Diversity, Health & Safety, and GDPR.

Skills and Experience

Essential

- Proven experience in administrative duties (telephone handling, emails, data input, document creation).

- Ability to manage a varied workload and meet tight deadlines.

- Experience delivering excellent customer service to a range of stakeholders.

- Strong IT skills, including thorough knowledge of Microsoft Office.

- Excellent organisational skills and ability to work in a fast-paced environment.

- Ability to manage multiple tasks simultaneously.

- Confident working independently and as part of a team.

- GCSE grade A–C (or Level 4+) in English and Maths.

Desirable

- Knowledge of Institute of Swimming courses and programmes.

- Understanding of educational processes and systems.

- Experience using bespoke booking systems and databases.

- Awareness of purchase order systems.
