• Coordinating documentation between clients, colleagues, and third parties
• Preparing training documentation packs
• Helping our team deliver smooth, clear, and compliant customs processes

Overall Responsibility
The Customs Documentation Coordinator plays a vital role in ensuring a positive customer experience by coordinating the flow of accurate documentation between clients, third parties, and the internal team. By managing and checking essential paperwork, this role enables colleagues to carry out customs processes smoothly, ensuring compliance, efficiency, and client satisfaction.
Key Areas of Responsibility
Operations
• Act as the first point of contact for gathering, checking, and coordinating customs documentation from clients and third parties.
• Ensure that all required documentation is complete, accurate, and delivered within agreed timelines.
• Liaise with colleagues across the operations team to provide them with the documentation and information they need to perform their roles effectively.
• Maintain clear and professional communication with clients to support a positive customer experience.
• Track and monitor the progress of documentation workflows, highlighting and resolving potential delays or issues.
• Support colleagues by preparing documentation packs, updating records, and ensuring alignment with compliance requirements.
• Contribute to the continuous improvement of documentation processes, helping to streamline workflows and enhance service delivery.
• Prepare and organise training documentation packs to support client learning sessions
• Monitor and manage client mailboxes
• Supporting Bethan Operations as and when required
• Attending meetings and business seminars as requested
HSEQ
• Review and follow company QMS procedures – alerting management if you become aware of discrepancies
• Job specific procedure creation and amendments.
Communications
• Assist with PR & Marketing campaigns as requested
• Share ideas for company Newsletter, social media or other marketing mediums.
