Overview
Fleet & Compliance Coordinator to support the Passenger Transport Services team. This role ensures fleet, vehicles and services operate safely, efficiently and in full compliance with standards and Service Level Agreements (SLAs).
You will take a proactive lead in managing vehicle compliance, coordinating fleet operations, and supporting staff in delivering a reliable Passenger Transport service. You will join a busy operational team delivering daily passenger transport of SEN and ASC provision across Leeds authority to approximately 4,700 customers. You must have excellent communication skills, be professional and confident, and capable of developing positive relationships within Passenger Transport, fleet services and contractors.
Responsibilities
* Coordinate and maintain accurate records of all Passenger Transport vehicles and routes.
* Ensure SLAs are met daily, including vehicle availability and compliance.
* Manage vehicle defects, workshop schedules, and liaise with Fleet and external contractors.
* Support and deliver staff training related to compliance and vehicle operations.
* Monitor vehicle downtime, arrange replacements and maintain service continuity.
* Act as on-site contact for fuel station, stores and equipment.
* Undertake quality, environmental and health & safety audits.
* Use Passenger Transport systems to maintain accurate documentation and support a move towards paperless working.
* Work with Fleet Services and stakeholders to coordinate vehicles for service delivery while remaining financially viable and compliant with council and departmental standards, policies and priorities.
* Lead in monitoring compliance, escalating non-compliance, and supporting training and monitoring of staff to ensure adherence to legal and service requirements.
* Undertake vehicle compliance training and stay aware of legislative changes.
* Be flexible, with strong problem-solving skills and occasional driving of specialist vehicles as required.
Job Context
* Role is based in the UK; home office guidance on right to work applies.
* Work pattern typically Monday to Friday with some weekend work as needed and potential shifts between 6am and 6:30pm.
* May drive specialist vehicles for Fleet & Passenger Transport Services as needed.
Qualifications & Experience
* Strong communication, organisational, and collaboration skills; ability to manage competing priorities.
* Experience in a transport environment with vehicle knowledge; competence in Microsoft Office and bespoke systems.
* Ability to supervise, support and motivate staff; commitment to high standards, compliance and continuous improvement.
* Essential requirements: understanding of health & safety in a transport environment; understanding of Operator’s Licence implications; experience in transport; excellent vehicle knowledge; experience with bespoke IT systems; advanced MS Office skills; ability to prepare and present information; strong written and verbal communication; experience working with diverse stakeholders; problem solving; training or briefing staff.
* Essential behavioural characteristics: commitment to Leeds City Council values, continuous improvement, equality and diversity; knowledge of Passenger Transport; MiDAS PATs or equivalent; ISOHH or NEBOSH or similar safety qualification; experience in an O-Licenced Yard.
