Primary Purpose of Organization Unit
The James B. Chavis Student Center (Chavis Student Center) is committed to realizing the Division of Student Affairs mission. As such, the Chavis Student Center’s mission is committed to providing space and opportunities for our campus and community to create a holistic experience that builds connections by bridging the gap between academics and engagement.
Programmatically, the office: • Supports student organizations and their leaders as integral members of the university community by serving as an organizational development clearinghouse. • Advises PAC (Pembroke Activities Council) and AGC (All Greek Council). • Creates educationally-driven, celebratory, social, interactive, and student-centered events that contribute to Student Affairs’ development of a robust and engaging university community.
There are occasions when this position needs to work late nights and weekends. This position is directly supervised by the Director of Student Engagement.
Primary Purpose of Position
The Administrative Assistant serves as the first contact point for the Chavis Student Center. The Administrative Assistant has daily phone, email, and in person interactions with students, faculty, staff, community members, and vendors who interface with the office in support of our educational mission. While meeting the needs of these various constituents, the Administrative Assistant also has primary responsibility for the following:
* Processing university engagement agreements and personal services contracts in support of PAC, Greek Life, and Chavis events. This process includes reserving campus facilities, arranging vendor accommodations, requesting catering, and processing payment for contracted performers and event components in a timely manner.
* Office supply inventory management, staff purchasing card reconciliation, requisition processing via Banner (Chavis, Greek Life, and PAC), and supporting the director with overall budget and resource management.
* Serving as the listserv administrator for the student-all listserv, the official communication point from the university, including the management of bi-weekly Things To Do – announcement emails to the student listserv.
* General office management including regular website updates (Chavis, Greek Life, and PAC), management of the large format printer, and other duties affiliated with a student centered office.
* Coordinating travel arrangements and paperwork for AGC and PAC trips and Chavis Student Center staff professional development.
* Advertise for, select, contract, train, and supervise office work study students. Complete contracts for these students as well as for AGC and PAC executive board members. Manage employment records as needed.
* In collaboration with office staff, assist in the development, coordination and implementation of Chavis Student Center programs as assigned which may include occasional after regular working hour event coverage with prior approval of comp time accrual.
* Within the scope of the above duties, provide administrative support to Chavis Student Center staff including the Director, Associate Directors, and Assistant Directors.
* Other duties as assigned by the Director of Student Engagement.
