We are now looking for an Assistant Reservations Manager to join our friendly Reservations team. The Assistant Reservations Manager will be responsible for managing all reservations as well as having an eye over all other guest requests and itineraries. Oversee the reporting of any booking patterns, ensure that all day-to-day enquiries for restaurants, room reservations and guest requests are managed in a timely manner Other Duties: Strong people management experience is essential This role requires a proactive approach to problem-solving and a commitment to delivering exceptional guest service. Deliver an efficient, courteous and thoughtful reservations journey always, in line with Heckfield Place standards. Take ownership of the guest journey from first point of contact through arrival, stay and departure, ensuring consistency and clarity at every touchpoint. Handle all guest enquiries, feedback or concerns with empathy, discretion and timely follow-up, liaising with the appropriate departments as required. Manage reservations for Bedrooms, The Bothy, Marle, Hearth, Private Events and all guest experiences, maintaining a thorough knowledge of availability, rates, packages and promotions. Adhere to credit and payment procedures to ensure all expected revenue is secured. Assist in performance reviews and coaching initiatives. Support bespoke and special requests, including curated off-site experiences and tailored itineraries, ensuring alignment with Heckfield Place standards. Maintain the Hotel Activities Diary in real time, ensuring accuracy of availability and scheduling. Ensures the daily operations of the Reservations Department run smoothly by managing task checklists and confirming timely completion and review. Assists in supervising Reservations Agents, ensuring tasks such as travel agent commissions, guest inquiries, and pick-ups are handled efficiently. Participate fully in daily handovers, weekly reservations meetings and departmental briefings, ensuring clear and consistent communication. Demonstrate flexibility in working patterns, including weekends and public holidays, in line with business requirements.
