Offer description

Were seeking an organised, personable, and professional Clerical Assistant to join the administrative team supporting our Nutrition & Dietetics service.

You will be the first point of contact, offering administrative and reception support to Dietitians, Dietetic Assistants, student Dietitians and other healthcare professionals. Your role will encompass a variety of administrative and reception tasks that ensure smooth day to day operations across clinical and service areas.


Main duties of the job

As a key member of the admin team, your day to day tasks will include

* Booking outpatient and clinic appointments using electronic systems
* Generating prescription requests for nutritional products
* Managing a busy telephone line, responding to enquiries from patients, GPs, carers and other healthcare staff
* Handling general clerical tasks: dealing with incoming/outgoing mail, scanning, photocopying, sorting deliveries, and greeting visitors
* Monitoring and actioning service mailboxes and emails promptly
* Maintaining confidentiality in line with Caldicott and GDPR guidelines
* Working collaboratively with other admin staff and working independently when required

Person Specification


Knowledge

* Ability to recognise what information is confidential information and knowledge of how to maintain confidentiality
* Demonstrate an ability to prioritise own workload and responds appropriately to urgent and emergency situations and deadlines
* Working knowledge of NHS Policies and Procedures


Experience

* Experience of using Microsoft Office applications, ie Outlook, Word
* Experience of office procedures ie filing, photocopying, message taking, typing
* Previous experience of using an electronic records system ie: SystmOne / Meditech
* Previous NHS /Healthcare Experience or other large sector organisation
* Working knowledge of NHS Policies and Procedures
* Experience of mentoring / supporting new members of the team


Qualifications

* 4 GCSEs or equivalent, ie: NVQ Level 2 Business Administration
* Willing to undertake further training as required.
* RSA Word Processing/Typing or equivalent qualification ie: ECDL
* Evidence of continuous professional development.
