Join us as a Personal Assistant to Board Chair
We’re looking for a Personal Assistant to join our team for around 16 hours a week, with a potential of more working hours, especially between December 2025 and March 2026. We’re flexible on scheduling and will work with you to find a pattern that suits, although we’ll need a minimum of 3 working days per week. The role can be demanding, and sometimes you will need to be flexible on working outside of your given hours due to the nature of the business.
If you’re organised and have excellent attention to detail, proactive, and confident managing multiple diaries, this could be a great fit.
The role is mainly remote, but there may be times when we’ll need you to come into our Case House office in Walton-on-Thames. For that reason, it’s important that you’re based somewhere where travel here is manageable.
Key tasks and responsibilities
In this role, you’ll support our team by:
* Managing diaries, scheduling meetings, and ensuring there’s enough time for preparation and planning.
* Attending meetings when needed, taking minutes, and making sure all the right papers are prepared and organised in advance.
* Coordinating Management Team meetings preparing agendas, circulating papers, attending, and writing up minutes.
* Managing the Board and Committee meeting schedule, preparing agendas and reports, keeping on top of deadlines, and attending meetings to take minutes where needed.
* Supporting the Chair with specific projects and events, including drafting reports when required.
* Organising accommodation and travel when needed.
* Handling general secretarial duties, such as drafting correspondence.
* Setting up and maintaining systems and processes to manage workload effectively while ensuring confidentiality.
* Coordinating multiple diaries across different organisations.
What we’re looking for
To be successful in this role, you’ll need:
* Excellent diary management and coordination skills.
* Previous experience supporting a Director or Chief Executive in a similar role.
* Strong IT skills, with confidence using Word, Excel, email, and databases.
* The ability to take accurate minutes at Board level.
* High attention to detail, methodical, logical, and organised approach to your work.
* A high level of professionalism and the ability to maintain confidentiality at all times.
* Flexible and adaptable, willing to help with a positive and can do attitude.
