Personal Assistant to Managing Director
Location: Head Office (Independent Pharmacy Group)

Schedule: Monday to Friday (No weekends)
About the Role
We are looking for a highly efficient, organised, and proactive Personal Assistant to support the Managing Director of our fast-growing independent pharmacy group. This pivotal role requires a confident communicator, a team player with exceptional organisational skills, and the ability to handle multiple priorities with discretion and professionalism.
Key Responsibilities
Diary & Meeting Management
* Manage and coordinate the Director's calendar, appointments, and travel arrangements.
* Organise meetings, prepare agendas, take minutes, and follow up on action items.
* Liaise with internal teams and external stakeholders to arrange and confirm appointments.
* Ensure the Director is fully briefed and prepared for all engagements.
Communication & Correspondence
* Manage incoming and outgoing communication including calls, emails, and mail.
* Draft and respond to correspondence on behalf of the Director and wider pharmacy management team.
* Maintain a high standard of professionalism in all written and verbal communication.
Executive & Administrative Support
* Support the Director with prioritising tasks and managing workload.
* Prepare reports, presentations, and documentation for meetings and strategic planning.
* Provide support to other management staff as needed.
* Handle general administrative tasks including filing, photocopying, and maintaining office supplies.
Reception & Office Coordination
* Greet visitors and manage front-of-house reception duties at Head Office.
* Answer and direct incoming calls appropriately to departments.
Project Assistance
* Assist with ad hoc projects and strategic initiatives as directed by the Director.
* Conduct research and provide relevant information to support decision-making.
Skills & Experience
Essential:
* Minimum 1 year of experience as a Personal Assistant, Executive Assistant, or in a similar administrative support role.
* Full UK driving licence (role may occasionally require travel between sites).
* Excellent organisational and time management skills.
* Strong communication skills, both written and verbal.
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Ability to multitask and work independently.
* High level of discretion and confidentiality.
* Professional appearance and demeanour.
Desirable:
* Experience in the pharmacy, healthcare, or regulated sectors.
* Familiarity with office management systems and procedures.
