An exciting opportunity has arisen to join the team at The Eden Club, Pittormie Castle, located just 7 miles from St Andrews in the Fife countryside. The Eden Club is an international private members club, providing access to three special dimensions: the most luxurious private club in Scotland, an outstanding schedule of golf and shooting events, along with a unique secretariat service.

As a Member Services Co-Ordinator, you are the first and last point of contact in a members visit to the clubs home at Pittormie Castle. Our ideal candidate will be energetic, enthusiastic, outgoing and driven, an interest in golf will be beneficial but is not essential. Experience of reception, administration, event organising, or within a 5 star business would be preferred for this position.

Key job functions

Co-ordinate, direct and administer all elements of a members trip, from initial request to follow up on their return home.

Deal with all incoming enquiries relating to the residences/Castle via telephone & email.

Ensure availability is kept up to date, make reservations, amend bookings and ensure deposits are taken as required.

Connect with guests prior to their stay to organise & finalise pre-arrival itineraries, including transport requirements, restaurant reservations, golf and any other activities.

Ensuring correct charging and billing processes are followed & undertake daily banking to ensure shifts balance.

Leading from the front whilst on shift, ensuring you liaise with each team at Pittormie Castle on a daily basis. The member services department really is the hub of Pittormie Castle and an extremely important part of the day to day running of the business.

Liaising with all departments to fulfil guests requests in a timely manner. You will be a trouble-shooter, a negotiator and a friendly face that can be relied upon by members to deliver their requests.

Key attributes required

A passion for delivering excellent service.

An approachable, friendly demeanor and immaculate personal presentation.

An ability to demonstrate excellent administrative skills and strong attention to detail.

Excellent interpersonal skills and a professional manner.

Excellent knowledge of the local area, including golf courses, visitor attractions, restaurants, etc.

The ability to work unsupervised is essential as you will be required to manage your own work load. Team work is also a must as you will be working within the member services team but also as part of the larger Pittormie Team, who are all required to work together to achieve aims and objectives daily.

Knowledge of Opera, Salesforce and Travefy would be advantageous but not essential, as full training will be provided.

As working a variety of shift patterns is required, flexibility in your working hours is essential.

Qualifications

* Supervising experience in a hospitality setting
* Strong background in hotel operations and guest services
* Proficiency in Salesforce and front desk operations
* Leadership skills to effectively coordinate member services
* Multilingual or bilingual proficiency is a plus
* Administrative experience to support day-to-day operations
