Job Summary:
This is currently a temporary role for 1 term only (Sept - December 2025)
We are seeking a dynamic School Secretary to join our Lochinver team. The working hours of this position is Monday to Friday 8am to 5pm term time only.
The successful candidate will need to perform important administrative tasks which help in the day-to-day running of Lochinver, enabling our staff to perform their jobs efficiently. The School Secretary is the warm and welcoming face to our School community and provides comfort and reassurance to pupils and their parents throughout the school day.
Due to the nature of the position, the highest levels of confidentiality must be maintained at all times.
Responsibilities
· Manage the Main School Office:
o Answering and directing telephone enquiries
o Welcoming and handling all visitors to the School including parents, third party deliveries & contractors
o Handling school incoming and outgoing mail
· Work with school staff to ensure timely completion of daily school registers and absences
· Work closely with the Director of Admissions and Marketing to ensure compliance with Admissions and Attendance regulations
· Work on school management information database
· Provide first aid provision to our pupils in the absence of the School Nurse
· Create and circulate the weekly School Bulletin and the regular Newsletters
· Liaise with the School staff to provide information to be circulated to parents as necessary including Reports
· Support all school staff, as required, with any administrative tasks
· Book coaches for outings and excursions as requested by the teaching staff
· Order stationery stock to ensure appropriate supplies are maintained and available for all staff
· Support Heads of Department to create and circulate all programmes for external events and oversee the ticketing arrangements
· Provide absence cover for the PA to the SLT and Bursar's PA as required
· Carry out any other reasonable requests in line with the broad responsibilities of the role
Experience, skills and knowledge:
· Experience of working in a similar role in a school
· Strong communication and organisational skills
· Able to present the School in a professional manner at all times to all levels (pupils, parents, staff, visitors & Governors)
· Able to work positively in a team, working with staff throughout the school and taking direction from a number of individuals
· Able to work under pressure whilst always remaining calm, patient & approachable
· Able to act on own initiative
· Advanced level of skills in MS Office (Excel, Word, Outlook, PowerPoint)
· First Aid certification will be needed and training will be provided if necessary
Key personal skills:
· Personable with excellent communications skills (face-to-face, telephone and email)
· Strong organisational & timekeeping skills with a good attention to detail
· Flexible and adaptable with a hands-on approach
