Clinical Team Administrator

Main duties of the job
The role is multifaceted with opportunities for progression and development of skills and experience. It will include:
* Responding to enquiries from clinical teams, healthcare professionals, patients, carers and other professionals; ensuring messages are communicated accurately and timely.
* Providing the first point of contact for patients and carers and responding helpfully to enquiries.
* Assisting with diary management and appointment coordination, including arranging meetings, taking minutes, distributing agendas and related papers.
* Creating and maintaining up‑to‑date case note files and liaising with other departments and sites.
* Performing general office duties such as ordering supplies, filing, photocopying and other administrative tasks.
Person Specification
Qualifications
* Level 3 qualification in a relevant field or equivalent experience, or willingness to work towards a Level 3 qualification in Leadership and Management.
* Level 3 qualification in Leadership and Management.
* RSA Level 2 or equivalent secretarial/administrative experience in a clinical environment.
Experience
* Experience in an administrative environment (diary management, filing systems, meeting coordination, minute taking, data input, collating and presenting information).
* Customer service experience (face‑to‑face, answering calls, correspondence).
* Ability to organise, meet deadlines and manage workloads.
* Experience of setting up and maintaining administrative systems and processes.
* Experience working autonomously and proactively.
* Experience supervising staff.
* Experience handling money and working within financial guidelines.
Knowledge
* Comprehensive knowledge of Microsoft Office applications.
* Understanding of data protection and the need for confidentiality.
* Knowledge of office systems and processes.
* Knowledge of NHS systems.
Skills
* Good interpersonal and communication skills.
* Accurate transcription of data from various sources, including digital dictation software.
* Basic numerical skills for calculations and information processing.
* Strong organisational skills and ability to prioritise workload.
* Teamworking and knowledge‑sharing abilities.
* High attention to detail and quality of work.
* Proficiency in using and maintaining office systems.
* Accurate keyboard skills for word‑processing documents.

* Ability to travel independently in accordance with Trust policies and service need.
