A leading brand based out of lovely offices in Fulham, are looking for an EA/Office Manager to come on board to support Executive Chairman, COO and Company Secretary, as well as provide Office Management support to the wider team. This is a great role, supporting at senior level with huge scope to grow and build a position and make it your own.
The ideal candidate must be reliable, exercise excellent judgment, handle confidential information in a professional and discreet manner, have exceptional communication skills, demonstrate professionalism, have the ability to handle numerous projects, and must handle a heavy workflow with a high level of accuracy. The successful candidate will have experience supporting senior level executives and be comfortable interacting with other senior members of the team and external clients in a fast paced and entrepreneurial environment.
Main Duties and Responsibilities:
Executive Assistance:
* Provide confidential and administrative support to the Executive Chairman, COO and Company Secretary.
* Travel arrangements - co-ordinate and book complex international travel, preparation of detailed travel itineraries and schedules for business trips.
* Diary management - co-ordinating and organising client meetings, set up internal/external meetings, arrange conference rooms, video conference facilities and lunches.
* Expense reports - preparation and maintenance of expense reports and monthly credit card expenses.
* Reconciliation of petty cash and invoice authorisation.
* Point of contact for client enquiries, routing calls and taking detailed messages.
* Responsible for meeting and greeting of guests and liaising between customers and internal departments.
* Review, prioritise and route incoming correspondence and co-ordination of outgoing correspondence.
* Monitoring emails and screening telephone calls.
* Following up on outstanding items and reminding directors of any further action/follow up required.
* Maintaining all relevant records and filing systems containing confidential information.
* Other secretarial/admin duties as required.
General Administration/Office Management:
* Responsible for some aspects of HR including holiday and absence management, maintaining personnel records
* Ordering stationery and office supplies.
* Assist with on-boarding and training process of new office employees.
* Ensure day to day maintenance of amenity spaces
* Ensure guest spaces/boardroom/meeting rooms are maintained with proper equipment.
* Coordinate materials/supplies.
* Provide support in the firm's security protocols
Essential Skills Knowledge and Experience:
* Experience in providing support on an executive level
* Discreet, friendly, and professional manner; maintain confidentiality on all aspects of workload.
* Excellent time/priority management skills; capable of multi-tasking to meet deadlines.
* Excellent organisational skills and attention to detail.
* Good common sense – ability to think ahead to avoid diary clashes and to ensure meeting rooms/restaurants/travel etc are booked in advance.
* Excellent communication skills, both written and verbal.
* Ability to remain calm under pressure.
* Excellent typing and MS Office skills.
* Pro-active 'can do' approach/attention to detail - follow up on outstanding items.
* Team player – willingness to “muck in” and help colleagues.
