EPIC Solutions is seeking a skilled, proactive, compassionate Office Manager to lead our administrative operations and support our clinical teams. This role is pivotal in ensuring smooth day-to-day functioning of the practice, maintaining high standards of compliance, and fostering a positive experience for patients and staff.
You'll manage a lovely, high spirited and very dedicated admin team, oversee systems and processes, and act as a key point of coordination across the organisation. This role reports to the Practice Manager and requires close collaboration to ensure alignment across operational priorities and internal leadership.
We're looking for someone who is:
* Organised, empathetic, and confident in managing people and processes
* Exceptionally skilled at organising their own tasks and understanding competing priorities
* Experienced in healthcare administration and compliance
* Skilled in Microsoft Office and comfortable with data and reporting
* A natural problem-solver with excellent communication skills
Summary of responsibilities:
* Ensure premises are fit for purpose in terms of content, cleanliness, maintenance and safety

* Fully and autonomously line manage the administration staff which includes secretaries, clerical and receptionist staff within the team
* To work collaboratively alongside admin and clerical colleagues, clinical staff and the management team
* To monitor and facilitate team members appraisals and provide mentorship and supervision where required
* Act as responsible person for day-to-day health and safety checklists
* Maintain registration systems
* Prioritise own workload and the workload for the administration team ensuring the provision of an efficient administration service to ensure protocols and guidelines are developed and adhered to
* Responsible for the induction and training of all new members of staff
* Take a lead role in the recruitment of administration staff
