Thesuccessful applicant will:
* Organisingoffice operations and procedurescontrolling correspondencescanning filesdesigning filing systems reviewing andapproving supply requisitions and assigning and monitoring clericalfunctions.
* Approvestaff timesheet.
* Makesure that our team get paid accurately and ontime.
* Createand maintain staff and resident files. You ll do checks andreferences.
* Helpmake sure that the staff training matrix is maintained.
* Recordand monitor annual leave sickness trackersetc
* Processpreadmission admission and discharge documents etc.
* Followup and monitor any enquiries for potential newresidents
* Preparecontracts and invoices for new residents plus process fees.
* Processcash and cheques promptly.
* Preparea weekly list of outstanding monies.
* Makesure that our orders from suppliers are received and correct.
* Supportthe centralised sales purchase ledger finance and payroll inputsystems.
* Manageeach resident s personal float and our petty cash.
* Processinvoices and enter them into a ledger.
* Preparebanking for residents fees lunch money cheque exchanges etc.
* Carryout monthly cheque banking and cash book analysis.
* Carryout any other financial tasks needed to support ourHome.
* Ensureour computer systems are maintained via Microsoft Office.
* Supportmeetings making sure they run smoothly and that minutes are kept.
* Dealwith any queries efficiently.
* Developand maintain good filing systems.
* Assistwith producing reports and statistics.
* Makesure that regular returns are completed on time.
* Bookmedical appointments for residents andmanage staff diaries.
* Liaisewith relatives.
* Keepaccurate records.
* Beprofessional welcome and friendly to visitorsand residents andthrough telephone/email as the first contact for all those to reachout to the home and deal with allkinds ofenquires.
* Becapable of using Microsoft Teams and other Microsoftapps.
* Supportthe Managers with administrative duties help with clerical fillingsand work with deadlines.
* Dealwith all mail be it for the residents staff or the home. Make DBSchecks and require references for newstaff.
* Workwith the Head Office Administrator and HR department onrecruitment.
