Hybrid working within this role enables a balance of 50 per cent of time split between the office and home over a 4-week period. Hybrid working arrangements can evolve subject to business requirements.

Overview Of Role
To provide legal secretarial and administrative support to the Legal department. A core component will be in creating and editing legal documents.

This role description covers the main tasks typically required of a legal secretary, however this may vary depending on the exact requirements of the legal team Heads you support.

To provide support as may be required to achieve the objectives of the team.

Have a good attention to detail; Take responsibility for own work and ensure delivered work is of a high standard, accurate and returned in a timely manner; Use own initiative and adopt a positive approach to identifying and resolving issues; Be consistently and demonstrably efficient whilst working well under pressure; Maintain strict confidentiality, high levels of tact and diplomacy and demonstrate honesty, integrity and fairness at all times; Demonstrate absolute commitment to TfL through working together with other members of the Secretarial team to proactively meet the support needs of the Legal department.

Key Accountabilities
To provide high quality secretarial and administrative support to the Legal department, including:

* Producing and amending documents, letters, memoranda, emails, reports and presentations;
* Creating, amending and formatting legal documents and handling submission of complex legal documents and bundles to court;
* Answering telephones and emails in a professional and efficient manner, taking and passing on clear messages and assisting in answering any general enquiries, where appropriate;
* Organising internal and external meetings, including preparing, coordinating and circulating agendas and papers;
* Opening new case management files, filing documents and correspondence and archiving closed files;
* Printing, photocopying, scanning, assembly and collation of documents;
* Opening and distribution of mail and deliveries;
* Recording annual leave dates on the department's calendar;
* Being an excellent practitioner and champion of the department's case management system;
* Preparing and submitting documentation for Court and Tribunals.
* Providing IT support and liaising with the Information Management team, as required, to resolve the department's IT problems;
* Any other task allocated to reduce the amount of time spent on administration by the department.

To provide PA support to team Heads and other senior lawyers, as required, with a focus on proactive diary management and recording sickness, annual leave and other absences for direct reports to team Heads.

To work collaboratively with all members of the Secretarial team, including:

* Assisting team members when they are under pressure and the post holder has available capacity;
* Sharing knowledge of IT systems and other specialist skills;
* Training new team members on the Legal department's systems and processes;
* Providing cover to other team members as required.

To work flexibly with the Secretarial team and across the Legal department as a whole.

To provide assistance and cover as required and to assist in implementing effective ways of working to enable the efficient running of the administration of the Legal department.

To provide assistance to support Knowledge Management as required.

Key Interfaces

* Work closely with all members of the Secretarial team and must develop professional and harmonious working relationships with all.
* Work internally with all members of the Legal department and in particular work closely with any lawyers to which the post holder is assigned to support. It is important to keep the department informed of progress of their matters and to notify them of any issues and concerns as they arise.
* Build and maintain effective, collaborative and valued relationships with key support personnel in the business to enhance the profile and effectiveness of the Secretarial team as a whole and the Legal department generally.
* Liaise with external solicitors and key contacts (and their PAs) on behalf of members of the Legal department.

Skills, Knowledge & Experience

* Substantial experience of providing secretarial/administrative support, preferably as a legal secretary.
* Strong knowledge of Microsoft Office software, including Outlook, Word and PowerPoint to an advanced standard and Excel to an intermediate standard.
* Typing speed of at least 65 words per minute.
* Good knowledge of using a legal case management system.
* The job description describes the main elements of the job. However the job holder may be required to carry out additional activities as requested .
* Experience in providing PA support at senior level desirable.
* Extensive experience in creating, editing and formatting a wide range of legal documents, including the production of complex legal documents.
* Knowledge of court and tribunal rules and requirements related to the filing of documents desirable.
* Strong planning and organisational skills.
* Strong communication skills, both written and oral.
* Strong interpersonal skills.
* Sound team skills demonstrating a collaborative approach.
* Pro-active and solution-driven approach.
* Experience of working in a demanding environment, with sensitive and confidential matters desirable.
* Experience and ability to work to strict and critical deadlines, prioritise work and deliver accurately and efficiently desirable.
* Experience and ability to work on own initiative, knowing when to raise issues.
* A recognised legal secretary qualification is desirable.
