Be responsible for the extensive diary management of the brand leads on L’Oréal’s PPDLT.
Proactively resolve scheduling conflicts and act as gatekeeper according to the GMs' priorities.
Ensure the agendas for the meetings they own are prepared and cascaded in a timely manner, and that agendas for the meetings they attend are shared with them in advance.
Work closely with the brand team and provide admin support, including but not limited to: extensive Purchase Order creation and management of trackers, travel & accommodation arrangements, agendas, and meeting ownership for brand Mancom.
Manage the budget and execution for Mancom events such as team offsites, workshops, dinners, etc.
Support on Brand events across Marketing and PR as needed.
Book regional and international travel and accommodation.
Serve as the first point of contact between senior external and internal stakeholders, supporting their relationships with these contacts.
Support the new starter and leaver processes, including coordinating FIT induction programmes for the direct reports of the GMs.
Keep relevant Microsoft Teams channels and email distribution lists up to date.
Gather and communicate important business information to the GMs' teams and be the point of contact for all administrative queries.
Support with taking minutes of key meetings.
Assist with ad-hoc projects within the brand and division.
Support team social events, which may require evening work.
Collaborate with the Executive Assistant and Business Assistants across the UKI business and other markets to facilitate meeting and event arrangements.
