Role
The role will include involvement in all aspects of the trade mark registration process including database management, preparing filings, handling correspondence, preparing invoices, liaising with clients and local attorneys as well as renewals and recordals. The Trade Mark Paralegal will be expected to support and filter work to and from the attorneys, providing assistance as required. In particular, the Trade Mark Paralegal will be responsible for a wide range of direct reporting and case management tasks with little or no supervision.
The ideal candidate will be motivated, conscientious and diligent, and will take ownership and responsibility for their work.
We will consider CITMA qualified paralegals or those who have suitable experience in a similar IP role.
Fully remote working will also be considered for candidates with suitable levels of experience.
Responsibilities
* Preparing cost estimates for new trade mark filings and prosecution, including cost comparisons between national and international filing strategies;
* Preparing new trade mark applications, including direct filings at the UKIPO and WIPO, as well as instructions to local attorneys for direct national filings;
* Reviewing and responding to official correspondence (including from UKIPO, WIPO and local attorneys);
* Maintaining case database including onboarding of new client portfolios, inputting new trade mark records, checking accuracy of records and adding relevant deadlines;
* Processing filing receipts, publications, registrations and renewal certificates (including checking details are correct and then sending relevant reporting letters and invoices to clients);
* Receiving and reviewing trade mark watch notices;
* Preparing responses to registry actions;
* Preparing official forms to be filed as part of responses and/or oppositions;
* Handling trade mark maintenance requirements (including advising on deadlines and requirements for filing declarations of use with suitable specimens);
* Handling trade mark and design renewals (including invoicing, taking client instructions and processing renewals);
* Handling recordals, such as change of representative, change of name, assignments and licence recordals (including advising on required documentation, preparing suitable documents, advising on requirements for notarisation and/or legalisation, preparing relevant official forms, instructing local attorneys and updating clients on progress);
* Corresponding with local attorneys;
* Handling power of attorney forms and other supporting documentation;
* Preparing and sending invoices;
* Preparing reports and schedules;
* Monitoring the status of cases and chasing relevant parties for updates as required;
* Sending reminders, including deadline reminders for convention and response deadlines;
* Ensuring electronic files are kept up to date;
* Monitoring and advising attorney and/or clients of upcoming deadlines, and preparing appropriate correspondence in advance; and
* Keeping up-to-date with developments and changes in trade mark law, both domestically and internationally, by attending CPD meetings and reading relevant journals.

Experience/Education
* CITMA Trade Mark Paralegal course or equivalent a plus but not essential; and
* Experience of the trade mark registration process.
