Job Summary
We are looking for a highly motivated and enthusiastic Band 4 Medical Secretary Supervisor to join our secretarial team in the Breast Department based at Solihull Hospital for 30 hours per week. The candidate will be a key member of the team, undertaking a lead role in supporting consultant(s) and other healthcare professionals by providing high quality secretarial and administrative support. You will play a pivotal role in ensuring patients are actively monitored and supported throughout their pathway.
Main Duties
* To touch‑type from audio the following documents: clinical letters; results letters – requiring an understanding of medical terminology, phraseology and medications, and high concentrations for complex or distressing material.
* Action all documents and book appointments as instructed by the consultant body, ensuring patients are listed for weekly Multi‑Disciplinary Meetings when required.
* Provide a complete confidential general and medical secretarial service for the consultant(s), organising meetings, preparing agendas and taking minutes.
* Use Microsoft Office applications (Outlook, Word, PowerPoint, Excel, Access) to produce clinical letters and other correspondence; use the hospital intranet to communicate upcoming appointments, admissions and investigation results.
* Monitor consultant annual leave and diary management.
* Supervise secretaries/clerical officers, allocating and monitoring work.
* Provide training to medical secretary trainees.
Qualifications
* Good general education (e.g., GCSE English and Maths A‑C, GCSE Level 9‑4).
* Business Administration NVQ Level 3 or equivalent experience in a clerical environment.
* AMSPAR Certificate or equivalent qualification, or equivalent knowledge of medical terminology.
* Working knowledge of medical terminology.
Experience
* Experience working as a Medical Secretary.
* Experience dealing with public/customer service.
* Experience using Microsoft Office packages (Word, Excel, Outlook).
* Experience using IT systems.
* Experience working in Healthcare.
* Good organisational skills; use of own initiative; ability to work under pressure and to multitask.
* Ability to work to deadlines.
Additional Criteria
* Good communication/customer care skills both written and verbal, demonstrating sympathy and compassion.
* Good keyboard/IT skills, strong organisation skills, time‑management, multitasking.
* Professional handling of enquiries from staff, patients and visitors; problem solving.
* Understanding of confidentiality and applying principles in daily work practice.
* Attention to detail where there are predictable interruptions.
* Ability to handle stressful situations, sensitive issues, and travel to multiple sites.
* Team player; confident dealing with people at all levels; mature, flexible and reliable.
Pay & Working Pattern
Band 4. Salary £28,392 to £31,157 per year. Permanent contract. Part‑time, Flexible working (30 hours per week).
